    Job Summary:

    The Accounting & PayrollCoordinator at Phoenix Society supports the overall operations of financialprocesses, including payroll, accounts receivable, and accounts payable.The position assists with the bi-weeklypayroll, invoicing, payment receipts, processing, verifying and reconciling vendorinvoices. The Accounting & Payroll Coordinator assists with the day-to-day functionswithin the finance department activities. Work collaboratively within thefinance team to ensure financial accuracy.

    Organizational Status:

    ThePhoenix Society is a multi-service agency located in the Lower Mainland ofBritish Columbia dedicated to providing accessible services and opportunitiesto people who face barriers related to addiction, mental health, housing,education, criminal justice involvement and/or employment. The finance department runs payroll for 200+staff. We manage the reporting of various funding streams for programs and projects.We use Sage 300 and Payworks.

    Work Performed:

    AccountsPayable:

  • Processingof vendor invoices, includes verification, GL account coding and monitoring forcompliance with our financial policies and procedures.
  • Obtainapproval/authorization for payment of invoices when applicable.
  • Understandexpense accounts and cost centers.
  • Processoutgoing payments in a timely matter and is in accordance with vendor terms.
  • Investigateand resolve account discrepancies.
  • Pettycash disbursements and reconciliation.
  • Continueto improve the payment process.
  • AccountsReceivable:

  • Prepareinvoices and statements, ensuring that all information is accurate andcomplete. Identify errors or discrepancies and resolve before processing.
  • Processingincoming payments.
  • Monthlyreview of the detailed accounts receivable aging report and follow up unpaidaccounts and/or anomalies.
  • Bankingactivities including deposits and cash disbursements.
  • Respondto inquiries and resolve issues related to transactions.
  • Maintainappropriate filing and recording systems.
  • Payroll:

  • Assistwith payroll-related activities.
  • Assistwith processing the bi-weekly payroll including timesheet verification andinput for all employees.
  • Assistin maintaining confidential employee personnel files.
  • Assistin maintaining all benefit related plans for our employees.
  • Other:

  • Dutiesas assigned.
  • Qualifications:

  • Post-secondarydiploma (e.g., 2 to 3 years) in accounting, bookkeeping, business, etc.
  • 3to 5 years of experience providing accounting and bookkeeping services.Experience in a non-profit setting is an asset.
  • Satisfactorycompletion of a criminal records checks with vulnerable sector screening.
  • Satisfactorycompletion of Employee Immunization Record form.
  • Validdriver's license is required.
  • Skills & Knowledge:

  • Excellent knowledge of accounting, reconciliation,journal entry, payroll, and other such financial transactions.
  • Strongskills in Windows, Microsoft Word, Excel, and financial management systems.
  • Strongproblem solving, analytical, and creative skills with the ability to exercisesound judgement and make decisions based on accurate and timely analyses.
  • Stronginterpersonal skills and ability to communicate effectively in writing andverbally in English.
  • Ability to execute projects and assignments withhigh attention to detail.
