We are currently hiring for the position of:

PRODUCTION ASSISTANT, FESTIVAL LOGISTICS


Reporting to Festival Logistics Coordinators and Manager, the Production Assistant, Festival Logistics is responsible for assisting with all production elements including: set-up, tear-down, and maintenance of the Festival venues, David Pecaut Square, Festival Street and special events as necessary.

They are responsible for retrieving, delivering, and replenishing supplies as well as assistance with crowd control, on-site setups, and basic administrative tasks.

A person in this role must be prepared for manual labour and to potentially travel by bike or foot in rain or shine.


RESPONSIBILITIES:


  • Shall include but not be limited to:_
  • Execute logístical support plans for assigned projects and complete all tasks as per given specifications
  • Attend production meetings, training and orientation sessions prior to onsite work as assigned
  • Assisting with logístical operations planning including helping with production schedules, inventory management and distribution i.e. radios, signage, etc
  • Assist with crowd control, vehicle traffic (talent, official, delivery, emergency vehicles) and basic administrative tasks
  • Manage production schedules and meet deadlines as assigned
  • Liaise between internal and venues teams to ensure proper and safe installation as per specifications
  • Assisting with festival infrastructure and maintaining logístical support
  • During festival, maintaining clear communication with the onsite teams, delivering supplies as needed and assisting at venues and events
  • Provide event production support for programming, sponsor and partner activations during loadin, setup, festival and load out
  • Assist David Pecaut Square and Festival Street teams as related to Volunteers
  • Assist Area Supervisors and production staff in the operation of Festival Village (Festival Street, Screening Venues, David Pecaut Square)
  • Keep a detailed daily log, including incident reports and other important documentation
  • Deliver detailed post mortem notes and postfestival reporting on or before September 24th, 2023.

RATE OF PAY:

- $19.25/Hourly

MINIMUM REQUIREMENTS:


  • Experience with indoor and outdoor event setups and operations
  • Previous festival, theatre, or large event production experience is an asset
  • Experience creating and coordinating production schedules
  • Job will require some heavy lifting, comfortable lifting up to 50 lbs
  • Strong communication and interpersonal skills and excellent customer service
  • Must be prepared for manual labour and to travel from venue to venue in rain or shine.
  • Required to handle assets and supplies in an ethical and confidential manner.
  • Ability to work both independently and in a team environment
  • Desire and ability to take initiative and coordinate projects
  • Able to focus and handle changing information under pressure, and in a demanding environment in a calm, alert, and professional manner
  • Willing to adjust work schedule as required to meet established deadlines including evenings and weekends
  • Required to work daily during Festival period at site builds, screening venues and outdoor activations as required
  • Expect to be active and outdoors through the shift rain or shine.
  • Must be able to attend all training sessions (Training session schedule TBC).
  • Being aware of surroundings for extended period of time while operating around vehicles, public, security needs, etc
  • Providing service to several people, departments or venues
  • Adhering to a predetermined schedule, while ensuring adhoc and ASAP requests are facilitated
  • Maintaining focus, initiative, and positive attitude during busy periods, as well as periods of waiting
  • Ability to work irregular hours (overnights or early mornings) as required
