Care Coordinators (aka the "Care Team") are the face of the business.

The Care Team's mission is to provide high-quality customer service to clients and make their journey of seeking therapy as pleasant as possible.

High-quality customer service is defined by fast responsiveness to inquiries, displaying a genuine and caring attitude, and offering support whenever possible.

It's the Care Team's responsibility to ensure that all clients have a positive experience and feel supported in their interactions with our organization.


As our intake team, they are the first point of contact for prospective clients and play a defining role in drawing first impressions, building rapport and trust, and ensuring that all new clients are matched with the right therapist.


In addition to supporting our clients, they are also the primary point of contact for the immediate needs of our therapists as it relates to communicating with clients, session scheduling, client billing, internal and external referrals, and more.


Responsibilities

  • Completing client intake assessments over the phone or video, creating rapport and trust with potential clients, and supporting them through meetings with multiple therapists until they find the right therapist for them internally
  • Supporting the clinic through active and inactive outreach to ensure that all potential clients receive the highest level of quality care
  • Managing the clinic's schedule, the therapists' schedules, and monitoring the waitlist
  • Ensuring sessions and consults booked on the schedule are happening
  • Adjusting, managing, and troubleshooting video therapy rooms
  • Ensuring daily payment reconciliations are completed
  • Demonstrating empathy, strong clinical knowledge, and the ability to respond to difficult situations effectively
  • Supporting therapists with administrative tasks
  • Complete regular reporting metrics and support with other data requests as necessary

Requirements:


  • University degree or related college diploma related to social service provision _(BSW preferred but not required)_
  • A minimum of 13 years experience in an intake or healthcare coordination role
  • Demonstrated experience in clientfacing customer service
  • Solid knowledge and experience using intake and screening tools
  • Skilled with using technology platforms like Zoom, Jane, HubSpot, Google Suite and Slack

Assets

  • Working knowledge of social work, psychotherapy, and some level of awareness about public sector mental health resources
  • Performing virtual front desk administrative duties and managing a fastpaced virtual clinical setting
  • Bilingual
