Providing administrative support to the Director, Manager, and Support Services team.


Responsibilities:


  • Povides primary support to EVS including scheduling, payroll, locker management and triage for a new portering service.
  • Process all incoming and outgoing communication, including mail, correspondence, minutes, forms, etc.
  • Type confidential reports, including Performance Evaluations.
  • Arrange and coordinate meetings; take and type minutes.
  • Receive, print, issue and close maintenance work orders through OTRS; produce reports as requested.
  • Provide assistance with administrative duties including typing and printing of policies and procedures, job routines, rosters, Ansos schedules, second clean lists, emergency codes, waste manifests etc.
  • Arrange and coordinate meetings through Outlook calendars; take and type minutes.
  • Setup and maintain files for the Director, Manager, Supervisors and general office.
  • Monitor and reorder office supplies when necessary.
  • Track & process financial requisitions, purchase orders, capital requests, electronic visa transactions, budget and other information as required.
  • Maintain and enter statistical and database information (key system, I.D./Parking Badge system, lockers, utilities, Preventative Maintenance system, Health Infrastructure and Renewal Software).
  • Provides coverage for Diagnostic Imaging admin when primary individual is away.
  • Perform other administrative duties as assigned, if not in contradiction with job purpose.

Key Qualifications:


  • High school diploma.
  • Administrative Support certificate/diploma or a minimum of 2 years of office experience.
  • Proficiency in advanced Microsoft Word, Excel, and Outlook.
  • Intermediate knowledge of MS PowerPoint.
  • Minimum typing speed of 60 words per minute.
  • Strong mathematical abilities.
  • Excellent interpersonal, organizational, and communication skills (both written and verbal).
  • Ability to work independently without supervision.
  • Skill in prioritizing workload within a multitask environment with multiple demands.
  • Evidence of satisfactory attendance and punctuality.
  • Competency in Word, Excel, and PowerPoint.
  • Experience in a healthcare setting preferred
  • Knowledge of Ross Systems (purchase orders), ANSOS, OTRS, Empath Property Tracking, Health Infrastructure Renewal Software, Chubb parking / access control system preferred.
