SCOPE

Reporting to the Manager, Renovation Projects, the incumbent assists the Project Management team by providing coordination and administrative support across multiple projects in various phases to ensure quality execution of assigned projects on time and on budget.


PRIMARY RESPONSIBILITIES

  • Assist Project Managers by providing coordination and administrative support across a series of projects from the design phase to the construction and delivery, and act as a liaison between external contractors, professionals, and other internal units.
  • Assist Project Managers in maintaining all relevant construction documentation (including project proposals, contracts, schedules, plan drawings and specifications, purchase orders, shop drawings, change orders, invoicing, and project close out documentation); file and track projectrelated correspondence.
  • Ensure documents required for construction are complete and accurate, shared with project stakeholders, and filed according to the University standards.
  • Coordinate document reviews by distributing relevant documents to internal resources, gathering comments and following up on revisions with internal and external resources.
  • Inspect work during construction to ensure conformity with project requirements, specifications, schedule and University procedures; coordinate and followup on the correction of construction deficiencies and use initiative and judgement to contain hazards to public safety or prevent the recurrence of any dangerous situation.
  • Assist the Project Manager with project estimates, cost forecasts and cost controls; integrate into University financial systems.
  • Provide assistance with preparing progress and status reports of projects; organize meetings, prepare agendas, and followup on action items with internal and external resources.
  • Plan and coordinate service shutdowns with external and internal teams and prepare the related communications plan.
  • Coordinate site access prior to and during construction and coordinate onsite execution with internal resources.
  • Assist the Project Manager with the project delivery and closeout by distributing final project documents and liaise with Property Management teams to ensure a smooth transition of the project assets at end of work.
  • Assist the Project Manager in obtaining permits and authority approvals from provincial and municipal officials.
  • Perform other tasks as required or assigned by Project Managers, Managers, or the Director of the unit.

REQUIREMENTS

  • Diploma of Collegial Studies (threeyear technical DEC) in architectural, engineering technology, building systems or another field related to building construction with two to four years of relevant work experience in construction support with knowledge of project management, plans and specifications and construction.
  • Knowledge of building codes, construction methodology, construction vocabulary and documents used in the industry.
  • Good knowledge (Level 4) of spoken and written English and French in order to communicate with clients, professionals, site superintendents and suppliers, to respond with sensitivity to queries and to issue reports.
  • Good knowledge (Intermediate level) of Word and Excel. Knowledge of MS Project, Email, and the Internet.
  • Excellent organizational, interpersonal and prioritizing skills and ability to handle competing demands.
  • Ability to work independently and in a team with diverse groups of people.
  • Service oriented individual with excellent judgment, initiative and resourcefulness.
  • Ability to anticipate potential problems and address them proactively.
  • Strategic, analytical and practical thinker who thrives in an environment with tight deadlines and understands the impact of construction work on buildings and systems.
  • Experience with institutional/educational projects is an asset.
