RESPONSIBILITIES:


  • Prepare and edit correspondence, communications, presentations, and other documents.
  • File and retrieve documents and reference materials.
  • Conduct research, collect and analyze data to prepare reports and documents.
  • Collate and manage data.
  • Manage and maintain executives' schedules, appointments, and travel arrangements.
  • Arrange and coordinate meetings and corporate events, including gathering documents and attending to logistics of meetings.
  • Record, transcribe and distribute minutes of meetings.
  • Monitor, screen, respond to and distribute incoming communications.
  • Answers phones, directs calls and responds to inquiries in a courteous, patient manner.
  • Interact with clients, visitors, and vendors.
  • Liaise with internal staff at all levels, acting as a true ambassador of ABC values.
  • Assist with administrative tasks for both Human Resources & Marketing.
  • Coordinate projectbased work.
  • Review operating practices and implement improvements where necessary.
  • Assist in maintaining and clean and inviting office environment.
  • Assist with reconciliation of monthly visa statements.
  • Provides administrative and project support to other departments as needed.
  • Other duties as required.

QUALIFICATIONS:


  • 3+ years' experience in a busy office environment providing support at a high level.
  • Proficient in Microsoft Office (SharePoint, PowerPoint, Word, Excel, and Outlook.)
  • Knowledge of standard office administrative practices and procedures.
  • High level of confidentiality.
  • Works well in team and individual based environment.
  • Possess excellent written and verbal communication skills
  • Excellent interpersonal skills. Comfortable interacting across multiple levels of the organization and liaise with other departments, personnel and external business entities.
  • Strong time management skills.
  • Wellorganized, detailoriented, and the ability to multitask.
  • Proactive problemsolving skills.
