The
Skilled Trades Administrative Assistant provides administrative and customer support in a manufacturing / warehouse type environment.

This role works closely with the Skilled Trades team to address general and student inquiries, coordinate class schedules, order student and instructional supplies, and maintain reporting data for each program.


These are your responsibilities:


  • Provide excellent customer service to clients (internal and external) and contribute to a welcoming and positive environment at Centre for Skills
  • Provide general administrative support and research, including data entry, filing, photocopying, record keeping, ordering of supplies, copying instructional materials, and assisting with special projects
  • Assist in the startup of new classes; oversee the printing of documents using external vendors; copying classroom material; setup of student binders etc.
  • Contact external vendors to order student supplies, based on instructors' purchase lists and in accordance with the established purchasing process/policies
  • Communication with Finance department regarding program purchases and monitoring of program budget spending
  • Support the recruitment and intake of students in upcoming Skilled Trades programs including the booking appointments, screening clients, and maintaining program waitlists
  • Prepare for information sessions updating information session PowerPoints, tracking attendees and conducting reminder calls for potential clients
  • Prepare and maintain tracking files related to Skilled Trades programs, including updating and monitoring all program waitlists, participant attendance and payroll, and program specific tracking information
  • Prepare student files including photocopying necessary documents for file; enter into database, prepare student transcripts and certificates at the end of the program
  • Assist with following up with previous Centre for Skills clients for an update on their job search progress
  • Organize and coordinate student appointments with other departments within Centre for Skills
  • Assist with community outreach events and activities

What you need to bring to this job:

  • Post-secondary diploma or degree
  • Past experience in a similar role will be considered an asset
  • Experience ordering supplies, processing invoices, and financial tracking
  • Highly skilled and experienced using MS Office suite (Excel, Word, Outlook)
  • Strong attention to detail, commitment to integrity, and ability to multitask and meet deadlines in a fast
- paced environment

  • Selfstarter who is resultsoriented and selfmotivated; takes initiative to ensure a high standard of service delivery with the ability to make use of downtime efficiently and productively
  • Excellent customer service skills; friendly, approachable and welcoming interpersonal style
  • Ability to be nonjudgmental and show empathy when dealing with diverse range of clientele while also maintaining appropriate professional boundaries
  • Welldeveloped relationshipbuilding skills with the ability to provide excellent internal customers service with a professional demeanor
  • Proven comfort level deescalating situations where clients may be acting in a negative or inappropriate manner. Comfortable and confident in working in a trades related environment
  • Excellent problemsolving abilities, strong communication skills (written/verbal), and collaborative team work skills.
