    Arktos Wellness Services Canada Ltd is a rapidly growing virtual community of Registered Social Workers, Psychotherapists and Coaches dedicated to supporting the healing journey of individuals, families, and communities across Canada.

    We believe in the power of communities that promote strength and resilience through individual and group work, wellness classes, and workshops.

    Our team consists of therapists, counsellors, coaches, music teachers, yoga instructors, and more.

    Role Description
    This is a remote contract role for a Virtual Assistant at Arktos Wellness Services Canada Ltd.

    As a Virtual Assistant, you will be responsible for performing various administrative tasks, including managing emails, scheduling appointments, client care questions and concerns, billing, drafting documents, creating electronic forms, light bookkeeping duties, organizing documents, and providing general administrative support to our team.

    We have a growing social media presence. A smaller aspect of this role includes monitoring multiple accounts for client interactions and some content creation and delivery. This is a remote position, allowing you to work from the comfort of your own home.

    Qualifications
    Expert level knowledge base of Jane app including: booking, billing, document management, scheduling, secure video, invoicing and reporting. Looking for minimum 2 years experience with Jane.
    Foundational level of knowledge with QBO/bookkeping (we already have a dedicated bookkeeper)
    Strong proficiency with Canva

    Meticulous attention to detail for document review, presentations, Canva posters and spreadsheets with attention to typography, layout, and design consistency, enhancing readability and visual appeal.

    Excellent organizational and time management skills - including demonstrated experience prioritizing multiple deadlines and tasks concurrently
    Strong communication and interpersonal skills
    Proficiency in Microsoft Office suite - as well as some extensions (Loop, To-do, etc)

    Experience with online communication tools and platforms (mainly Jane and Zoom) with ability to problem-solve small technical issues for client and clinicians.

    Ability to handle confidential information with discretion
    Self-motivated and ability to work independently
    2 years prior experience as a virtual assistant is mandatory
    Prior experience as a virtual assistant in a multidisciplinary health-related clinic is strongly preferred.
    Knowledge of the wellness industry and interest in mental health is preferred.
