Administrative Assistant - In office position


CMP Group Ltd., a leading provider of Marine Products, Construction, and Industrial solutions is seeking an Administrative Assistant to join the Vaughan, Ontario location/team on a full-time permanent basis.

Reporting to the General Manager, the Administrative Assistant is responsible for supporting all general office duties, including the following departments:
Finance (Accounts Payable and Accounts Receivable), Human Resources, Customer Service as well as Warehouse.

Responsibilities:


  • Scan A/P back up (invoices, receivers, & POs) to server
  • Send cheques received in Vaughan to AR team for processing
  • Assist A/R with scanning and uploading of documents
  • Update vendors with payment status as required
  • Manage petty cash
  • Ensure that office supplies are ordered in an organized and timely manner
  • Serve as back up for general telephone line
  • Provide ad hoc reports / spreadsheets or information when required
  • Cross train in various activities to provide backup coverage and assistance
  • Sort and distribute mail and process outbound mail
  • Promote safe work practices as outlined in the WSIB Ontario regulations
  • Ensure the Company's quality policies and procedures are followed and participate in Quality Audits as required
  • Participate in 1X1 meetings with the General Manager
  • Participate in various committees (Health & Safety, Social Committee)
  • Champion RESPECT code of behavior
  • Continually challenge the status quo and identify ways to improve process and efficiency within role, department and company
  • Primary employee to greet all visitors
  • Other duties and projects as assigned

Requirements:


  • 2 years of Administrative Assistant experience
  • 2 years of AP experience
  • 2 years of AR experience
  • 2 years of experience with an ERP system (Visual an asset)
  • 2 years of experience in GST/PST regulations
  • Experience with administrative duties in an office and/or manufacturing (Asset)
  • Proficient skills in Microsoft Word and PowerPoint, Excel and Outlook
  • Ability to: multitask, manage a high volume of work, prioritize, take initiative, maintain confidentiality and work independently and or/as part of a team
  • Attention to detail and time management, good communication and organizational skills

Hours

  • 8:00 m 4:30 pm, Monday to Friday
