ADMINISTRATIVE ASSISTANT
- The University of the Fraser Valley Student Union Society (SUS) is a BC Not-ForProfit Society representing and serving UFV students. The Society manages the Student Union Building and facilitates services such as the UFV U-PASS, food services, and the student health and dental plan. SUS also supports an active community by organizing events and providing wellness and developmental programming. As the official representative body of UFV students, our mission is to be an inclusive community that offers highquality, accessible programs and services. We are the unified voice advocating on behalf of student interests in the UFV community, ensuring each student has opportunities to thrive._
Work Schedule:
Full-Time (40 hours per week Monday-Friday)
Compensation:
$40,000
Benefits: 20+ days leave (including vacation & office closures), extended health & dental care, RRSP & on-site parking
The Administrative Assistant is responsible for providing information to students at the Info Desk in the Student Union Building (SUB) and supporting the efficient operations of the office.
Supporting all teams and the Executive Director in administrative duties, they will also assist students with questions about SUS programs and services.
As a multi-tasker, you should be organized and adaptable as you represent the organization to the UFV community. This is a fantastic opportunity to expand your administrative skills while working in a supportive and engaging environment.DUTIES AND RESPONSIBILITIES
The Administrative Assistant has responsibility for a variety of functions, including but not limited to the following outlined below:
- Greeting students in a friendly and professional manner to respond to inquiries, both in person and via the phone providing accurate timely information or directing them to the appropriate team member
- Supporting the Executive Director with administrative and Human Resource tasks
- Supporting the logistics of the Programs & Services team, including but not limited to UPASS distribution and providing information about our Health & Dental program and Campus Shuttle service
- Supporting the logistics of the Facilities team when required, including but not limited to athletic equipment rentals, locker rentals, room bookings, work orders and processing lowvalue payments
- Maintaining office equipment including photocopiers, printers, U-PASS equipment, and phones
- Booking travel arrangements for the Executive team
- Managing schedules and calendars
- Supporting teambuilding activities including logistics and procurement
- Managing the office and operating supplies budget
- Other duties, as required for SUS to achieve its mission, vision, and goals.
QUALIFICATIONS AND EXPERIENCE
Education:
Diploma or certificate in a related field with at least two years of work experience
Organization:
Highly organized and can confidently multi-task
Interpersonal Communication:
Strong interpersonal communication skills, with the ability to work well as part of a team, connect with students and with external organizations
Written Communication:
Strong communication skills, both verbal and written, experienced in Microsoft Office including Excel
Confidentiality:
Able to maintain the confidentiality of sensitive information
Work Ethic:
Professional work ethic, exercising good judgment, initiative, and a high degree of professionalism
Knowledge of UFV:
Knowledge of the UFV campus, courses, and SUS policies would be an asset.
