    Research Project Coordinator - Saskatoon, SK, Canada - University of Saskatchewan

    Description

    This position will provide project management and coordination as well as administrative support to an inter-disciplinary team of researchers, writers, and community partners in carrying out a funded program of research, creation, and public dissemination. It will be based at the University of Saskatchewan and will also involve working with other universities and community organizations in Saskatoon as well as nationally. While this is not a research position, an awareness of research processes, of community-based research practices, and of research funding processes is important.

    Primary Purpose: You will provide pro-active, high-quality project management, communications, and administrative support for a major funded research program.

    Nature of Work: You will report to and work closely with the Program Director and will be located in an office on campus. The work encompasses a range of duties and processes that involve deadlines, peak periods and situations that require both the ability to work independently as well as part of a team. A high level of professionalism, organization, discretion, responsibility, and sound judgement is required. You will work to manage the activities, communications, and finances of a large, multi-faceted and inter-disciplinary research project. You will work directly with faculty members and collaborators across multiple institutions and organizations. You will also liaise with other administrative personnel on campus to support completion and success of the project. You will provide research administration in accordance with university policy, guidelines, applicable collective agreements and relevant legislation and regulations. Occasional travel within Canada may be required.

    Typical Duties

    In summary, your duties will be as follows:

    Planning:

    • With the Program Director, planning and prioritizing project activities.
    • Liasing and managing projects between the researchers and community partners to ensure that that project deliverables and timelines are met.
    • Effectively establishing work scope, timelines, work plans, and accountabilities for self and team members to ensure quality and clarity of scope for projects.
    • Monitoring and reporting of project research performance/metrics.
    • Assisting in the identification of funding opportunities and development of small-scale funding applications to support partnership activities and growth.

    Financial and Data Management:

    • Providing interactive, high-quality financial reporting, budgeting and human resources support to the Project Director.
    • Establishing, maintaining and monitoring effective administrative and financial procedures to provide coordination and monitoring of research fund budget, timely processing of payments and invoices, methods of tracking aspects of project funds and maintaining documentation for audit compliance.
    • Managing and maintaining project documentation, research data, and project materials.

    Communications:

    • Communicating regularly with team members.
    • Working with project teams to develop and regularly update the project's website and knowledge mobilization platforms.
    • Following up on assigned tasks with team members and stakeholders.
    • Effectively documenting, communicating, and tracking project milestones and deliverables.
    • Developing project communication materials for websites, presentations and reports.
    • Liaising with staff, management and stakeholders to ensure seamless and efficient resolution of outstanding inquiries, activities and associated administrative processing.

    Event Planning and Management:

    • With the Project Director, planning and participating in regular team meetings.
    • Facilitating workshops and meetings and, with team members, planning project events.

    Compliance:

    • Monitoring project status and advising on requirements and deadline associated with research reporting deadlines.
    • Generating of reports as required by Tri-Agency and other funding agencies.

    Administrative Support:

    • Providing logistical support to the project's governance committees.
    • Assisting researchers with coordination of research logistics/travel.
    • Processing a variety of transactions, monthly reconciliations, monitoring research project end dates, closing funds or extensions.
    • Other duties as specified by the Program Director.

    Essential accountabilities include being proactive and forward-looking, meeting deadlines, solving problems, communicating clearly, working effectively and collaboratively with a team, maintaining confidentiality, and attending to details.

    Education: Minimum of an undergraduate degree with 3 years relevant experience. A Graduate degree is a strong asset.

    Experience:

    Required experience:

    • Proven track record with research coordination/project management and administration.
    • Demonstrated high-level organizational skills.
    • Event planning experience.
    • Experience working in a team environment and with team dynamics.
    • Experience with computer software (Word, Excel, Outlook, Adobe Acrobat, etc.).
    • Experience writing reports and applications.

    Strongly preferred experience:

    • Experience working in an academic environment.
    • Experience with arts and/or literary organizations/creation/studies.
    • Experience working with or in Indigenous communities and/or community organizations.
    • Website updating experience is an asset.
