SCOPE


As the Executive Assistant, you will provide detailed and essential administrative and strategic support to the Vice President of Construction, Operations Manager, and Senior Project Manager.

You will be tasked with wearing many hats, using your strong organizational skills, detail orientation, and problem-solving abilities to ensure the smooth operation of the construction team and business.


RESPONSIBILITIES

  • Manage, schedule, coordinate, document meetings and distribute minutes.
  • Liaise and communicate with architects, consultants, subcontractors, and city managers.
  • Manage project progress documents.
  • Liaise and gather information and formulate weekly, biweekly, and monthly reports.
  • Manage and disperse monthly newsletters.
  • Participate and update the construction company's operations manual.
  • Collaborate across all areas of an owner construction builder organization.
  • Support the project managers and coordinators on an as required basis, or in a priority situation.
  • Support the construction team at time of pretender preparation, tendering, review of contractor breakdowns, and contract award.
  • Provide support across all facets of the construction team.
  • Ensure stakeholders are informed and updated.

  • Plans, organizes, and schedules in an efficient, productive manner; focus on key priorities.

  • Can move quickly taking a stand without being abrasive; persistent and proactive.
  • Proactive and could eliminate problems before they occur.
  • Act as the gate keeper between construction management and corporate assignments.
  • Has a general understanding and knowledge of the construction industry, tendering, contract award, and project management.
  • Insight and understanding of homeowner customer service and Tarion guidelines.
  • Knowledge of the construction industry within Canada.
  • Stakeholder management.
  • Action orientated and results driven.
  • Excellent skills in Microsoft Suite (Word, Excel, Outlook, Project, Visio, PowerPoint, JDE, ProCore, Acumatica).
  • Excellent problemsolving skills and could resolve issues in a timely and constructive manner.
  • Exceptional attention to detail and thinks independently.
  • Professional discretion.

QUALIFICATIONS

  • 35 years reporting directly to a senior management team in the construction, or development, and or general contracting business sectors.
  • CET, PMP, or Degree in Construction or Management is an asset.
  • Proven success in an administrative role.
  • Ability to maintain confidentiality.
