    In a cooperative team-based environment, the Community Relations Coordinator will create a positive public image of The Salvation Army by promoting and increasing public awareness of the Mission and Vision of The Salvation Army. By raising public awareness of The Salvation Army, the Community Relations Coordinator will develop and implement a solid plan pertaining to special event fundraising initiatives based on overall objectives and goals for The Salvation Army Guelph Citadel. They are also required to continually assess the effectiveness of special event fundraising plan initiatives. The goal of this position is to enhance donor/funding and volunteer support to help Community and Family Services (and affiliated ministry units) achieve its mission and influence in the community.

    KEY RESPONSIBILITIES:

    General

  • Ensure that all duties are completed in accordance with the principles, standards, policies, and procedures of The Salvation Army.
  • Assist and support Guelph Citadel to achieve its mission and influence in the community through increased presence, public awareness, and funding support for local community services / ministries.
  • In conjunction with the Corps Officer, support and maintain efficient and effective community relationships with business, corporate, organizations and other potential partners.
  • In conjunction with the Corps Officer facilitate the development, implementation, and evaluation of a short-term and long-range strategic community relations plans.
  • Provide regular updates to Corps Officer; as requested provide updates to the Guelph Citadel Community and Family Services (CFS) Team.
  • Participate in regular staff meetings; provide regular reports related to community relations.
  • May on an occasion provide confidential, professional assistance in the Community and Family Services department while ensuring respect for everyone's right to privacy
  • Program

  • Provide administrative, organization and practical support to Christmas Kettle Campaign and Golf tournament and other fundraising initiatives; assume the role of Christmas Kettle Coordinator and Golf Tournament Coordinator.
  • Provide administrative, organization and practical support to the Princess Project and other related fundraising initiatives; assume the role of Princess Project Coordinator.
  • Solicit program funding proposal opportunities from business, corporate, organizations and various levels of government, and other potential partners.
  • Prepare and submit program funding proposals and grant applications as required.
  • Seek opportunities to build and foster personal relationships and partnerships with local business, community groups and organizations.
  • Organize community events/programs to promote TSA brand in the Guelph and Wellington region.
  • Network with corporate, business and community sponsors for the purposes of helping to secure funding or gift-in-kind donations for the work and ministry of The Salvation Amy Guelph Citadel.
  • Manage social media accounts; develop and maintain a strong social media presence for Guelph Citadel programs in accordance with TSA mission, vision, and values.
  • Develop strong community relations, partnerships, and fundraising opportunities throughout the year.
  • Administration

  • Maintain accurate written records, logs of activities, including activity reports and statistical information.
  • Ensure that documentation and records are prepared in an organized and timely manner.
  • Prepare and distribute quarterly reports/updates about the work of The Salvation Amy Guelph Citadel; submit a report to business and community partners as directed.
  • Maintain frequent contacts, by phone, email, requests for support to the donors throughout the year.
  • Provide volunteers and donors with acknowledgements of gratitude.
  • Seek input from the CFS management about program/funding needs.
  • Ensure the Director of CFS is kept abreast of any concerns, successes, etc., and notifying the supervisor should their involvement be required regarding any complaints or issues that could result in negative public relations.
  • Provide support to the local "team" in preparing any correspondence as required.
  • Answer incoming phone calls and written correspondence as it pertains to any personal community contact.
  • Ensure that letters to community donations and income tax receipts are issued as required.
  • Assist in conducting debriefs on all events including but not limited to Christmas Campaign, including lessons learned.
  • Finances

  • Assist with the preparation of CFS invoices for payment, prepare donor income tax receipts for CFS programs and events.
  • Prepare Christmas and special event donor receipts/letter appeal receipts and deposits as required.
  • Assist with Christmas kettle income reporting, counting/bank deposits.
  • Responsibly handle gift cards that are designated for all Guelph Citadel programming.
  • Health and Safety

  • Adhere to all Health and Safety Standards and the specific requirements regarding COVID-19 as per the local Health Unit.
  • Understand and work in compliance with the Ontario Health and Safety Act (OHSA) and Regulations and abide by The Salvation Army's health and safety policies and procedures.
  • Ensure the safety and comfort of the ministry unit by maintaining cleanliness and food safety etc.
  • Work in compliance with OH&S Act and Regulations and abide by The Salvation Army's health and safety policies and procedures.
  • Perform other work-related duties as required.

    WORKING CONDITIONS:

  • This is a permanent full-time position based on 35 hours per week.
  • Flexibility in scheduling required, some weekend and evening work required during the Christmas Kettle Campaign.
  • Requires working at a computer, standing for periods of time; being able to carry lift/move, 50 lbs. and less; un-packing delivery vehicles; bending; twisting; keyboarding and sitting for extended periods of time.
  • Will be required to carry a cell phone.
  • Travel is required and associated with this position (up to 15%).
  • Required to wear appropriate Salvation Army identification when necessary; attire is business casual.
  • QUALIFICATIONS AND EDUCATION REQUIREMENTS:

  • Minimum of two years post-secondary education in Community Relations or Fundraising Management.
  • Alternative combinations of education and experience may be considered.
  • EXPERIENCE AND KNOWLEDGE:

  • Minimum of two (2) years of prior related experience in the field of fundraising, experience in communications, event planning, public speaking, and experience in a not-for-profit environment.
  • Minimum of one year of supervisory experience; coaching, leading and motivating volunteers.
  • Experience with program funding proposals and grant writing.
  • Experience building relationships in the not-for-profit sector and/or partnerships with a variety of stakeholder groups that could include corporations, and community groups.
  • Proficient in business machines such as computer, fax machine and photocopier; administration and files management procedures.
  • Proficient in working in a computerized environment must have strong skills using Microsoft Office Suite.
  • Valid Ontario Class "G" Driver's License, personal vehicle required and insurance, current copy of driver's abstract for review and verification that is satisfactory to The Salvation Army, in its sole discretion, is required.

  • Excellent knowledge of Facebook, Twitter, LinkedIn, Instagram, Youtube and other social media platforms.
  • Ability to manage multiple social media accounts with creativity and accuracy.
  • Teachable spirit / provides and takes direction / a willingness to be coached.
  • Confident, self-motivated, mission minded, able to work with other staff or independently.
  • Willingness to be flexible, motivated, versatile, and able to thrive in a non-profit environment while maintaining effectiveness and efficiency.
  • Understand ethical behaviour and business practices and ensure that own behaviour is consistent with these standards and aligns with the values of the organization.
  • Creative, innovative and develop new and unique ways to improve and create new fundraising opportunities.
  • Set priorities, monitor progress towards goals, and track details, data, information, and activities.
  • Assess problem situations to identify causes, gather and process relevant information, generate possible solutions, and make recommendations and/or resolve the problem.
  • Work independently; maintain confidentiality; projecting a positive, professional, and helpful attitude.
  • Communicate effectively, and exercise good interpersonal skills by displaying tact, courtesy and patience with clients, staff, and community partners.
  • Ability to undergo applicable screening and background checks successfully that are satisfactory to The Salvation Army, in its sole discretion (i.e., The Salvation Army Abuse Registry) and provide an original copy of a Background Check screening.
  • Ability and willingness to develop an understanding and support for the mission and purpose of The Salvation Army in Canada and its implications as related to position responsibilities.
