    Job Description :

    Save Max Real Estate is seeking a dynamic and proactive Executive Assistant to support our Real Estate Broker in managing daily tasks and ensuring smooth operations within the brokerage. The ideal candidate will be highly organized, detail-oriented, and possess excellent communication skills. This role offers an exciting opportunity to be an integral part of a fast-paced and growing real estate company.

    Responsibilities:

    • Administrative Support : Provide comprehensive administrative support to the Real Estate Broker, including managing schedules, coordinating appointments, and organizing meetings.
    • Communication : Serve as a primary point of contact for internal and external communications, including phone calls, emails, and inquiries, and ensure timely responses.
    • Documentation : Assist in the preparation and maintenance of documents, contracts, and agreements related to real estate transactions.
    • Client Relations : Build and maintain positive relationships with clients, providing assistance and support as needed throughout the buying or selling process.
    • Database Management : Maintain accurate and up-to-date records of client information, listings, and transactions using CRM software.
    • Coordination : Coordinate with other team members, including agents and corporate staff to facilitate seamless transactions.
    • Travel Arrangements : Make travel arrangements, including booking flights, accommodations, and transportation, as required.
    • Miscellaneous Tasks : Handle various ad-hoc tasks and projects as assigned by the Real Estate Broker to support business objectives and operational efficiency.

    Qualifications:

    • Bachelor's degree in business administration or related field preferred.
    • Proven experience as a Personal Assistant, Executive Assistant, or similar role, preferably in the real estate industry.
    • Excellent organizational skills with the ability to prioritize tasks and manage multiple projects simultaneously.
    • Strong communication and interpersonal skills, both written and verbal.
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and CRM software.
    • Knowledge of real estate terminology, laws, and procedures is advantageous.
    • Ability to maintain confidentiality and exercise discretion when handling sensitive information.
    • Availability to work flexible hours and adapt to changing priorities in a fast-paced environment.
