    Position Overview:

    The Program Coordinator plays a pivotal role in ensuring the efficient operation of the Client Services department. Reporting directly to the Director of Client Services, the Program Coordinator is responsible for managing critical documents, coordinating logistics, and supporting communication between various stakeholders. Their work directly impacts the success of the following client serving programs: Gateway Services, Calgary Language Assessment and Referral Centre (CLARC), and Client Care team.

    Applicants must be legally authorized to work in Canada to be considered for this position.

    This role offers a hybrid work arrangement, requiring a minimum of 3 days per week on-site.

    Key Responsibilities

    Program Funder Contract Management

    • Track program funder contracts from initiation to account closure, ensuring timely delivery of all reports and deliverables.
    • Coordinate and support the completion of written reports including template updates, final editing, and approval.
    • Manage organization's funder portal accounts: oversee user accounts, notifications, and maintain up-to-date records.

    Program Planning and Coordination:

    • Assist with program development and planning in collaboration with Program Managers and Director.
    • Coordinate logistics for program activities, including scheduling meetings, workshops, or events.
    • Manage deadlines and timelines for program tasks and deliverables.

    Communication and Administration:

    • Manage program communication through the creation of presentations, reports, and other documents.
    • Maintain program records and databases.
    • Facilitate communication among program staff, participants, and stakeholders.
    • Respond to inquiries related to the program and its activities.

    Budgeting and Finance:

    • Assist with program budgeting by tracking expenses and preparing financial reports.
    • Collaborate with finance to process invoices and payments related to program activities.

    Other Duties:

    • Maintain a well-organized program documentation and filing system.
    • Stay abreast of program policies and procedures updates. Provide administrative support to program leadership as required.

    Qualifications and skills:

    Education:

    • Undergraduate degree or Diploma in Business Administration, Human Services, or a related field.

    Experience:

    • Proficient in funder contract management.
    • Skilled in coordinating, writing, and editing reports.
    • Experience in program planning and coordination, meeting scheduling, and deadline management.
    • Strong communication and administrative skills, with the ability to create presentations, reports, and documents, maintaining program records and databases, and facilitating effective communication among all stakeholders.
    • Experience in budgeting and finance tasks, such as tracking program expenses, preparing financial reports, collaborating with finance teams on invoice processing and payments related to program activities.
    • Proficient with project management tools and processes.
    • Strong working knowledge of MS Office Suite (Word, Excel, PowerPoint, SharePoint).
    • Experience with Salesforce or other CRM software is considered an asset.

    • Cross-cultural awareness and sensitivity; prior experience working across a variety of cultural and language groups.
