The Ministry of Government Relations, Deputy Minister's Office, has an opportunity for a highly-skilled, well-organized, energetic, and proactive individual to fill the role of Senior Administrative Assistant to the Assistant Deputy Minister of the First Nations, Métis and Northern Affairs Division and the Assistant Deputy Minister of the Corporate Services and Standards Division.
This position has the overall responsibility for the efficient operation of the Assistant Deputy Ministers' offices and contributes to the operation of the Deputy Minister's Office.
As the successful candidate, you will provide a variety of administrative support to two Assistant Deputy Ministers and other staff in the Deputy Minister's Office.
You will plan, schedule, and organize meetings and other events, including the coordination of travel and event logistics.You will type, format, and proofread a variety of sensitive and confidential documents such as general correspondence, briefing materials, budget documents, Cabinet documents, reports, emails, and presentations; and prepare the monthly expenditure forecast, monitor expenditures, process invoices, and perform purchase card reconciliation.
You will need a strong understanding of records management and be able to apply this understanding to maintain the office filing system.
You must have excellent organizational skills to coordinate and process Minister and Deputy Minister referrals, inquiries, and casework and ensure responses are completed in a timely manner.
Strong problem-solving and decision-making skills are required to resolve issues on a daily basis.You will be responsible for providing leadership and advice to other staff within the Ministry on government processes and standards, as well as leading by example on the Ministry's culture and values.

Our candidate of choice will have superior leadership, teamwork, and communication abilities; knowledge of budget processes, cabinet processes, visual identity, and correspondence guidelines while also being well-versed in government structure, protocols, policies, and procedures.
The ideal candidate will be tactful and discrete when dealing with confidential and sensitive information in the Deputy Minister's Office; thorough and attentive to detail; and, adaptable and cooperative in an ever-changing environment.
You will also be able to identify opportunities and problem areas, make timely and accurate decisions; and independently organize, prioritize, and complete multiple tasks while dealing with frequent interruptions and tight deadlines.
Back-up support to the Senior Administrative Assistant to the Assistant Deputy Minister of Municipal Relations and the Senior Administrative Assistant to the Deputy Minister will be necessary in their absence.
Typically, the knowledge and experience required in this position would be obtained through a certificate/diploma in business education combined with several years of senior administrative experience in government.
