- Diploma in Social Science, Health Science, Office Administration, or related field or combination of education, training and experience.
- Minimum three years' experience working with people in either a Social or Human Services setting, preferably in an educational setting.
- Demonstrated ability to handle sensitive situations tactfully and to maintain confidentiality. Must be familiar with the Personal Information Protection and Electronic Documents Act (PIPEDA). Knowledge of the Local Authority Freedom of Information and Protection of Privacy Act (LAFOIP) and Health Information Protection Act (HIPA).
- Proficient with using all of Microsoft Office Suite, Microsoft TEAMS, SharePoint, Zoom, databases, web-based applications, and computer hardware. Has experience with using analysis software.

Job Duties Job Duties The Coordinator of Counselling and Student Health will report directly to the Director, Counselling, Accessibility and Health, within the division of Student Services at Saskatchewan Polytechnic. The purpose of the position is to support the Director of Counselling, Accessibility and Health with the coordination and administration of the department. Counselling, Accessibility and Student Health services continue to expand in complexity and in demand, and an organized, proficient, and self-motivated individual is needed to support this expansion.The Coordinator must demonstrate sensitivity to and discretion for confidential information, personal health information. Must be sensitive to individual situations and have critical thinking and problem-solving skills. This role provides vital support to the Director of Counselling, Accessibility and Student Health, through the administration and coordination of the Counselling and Student Health Nurse teams, at the provincial level. This position will hold in-depth knowledge of the operations of the Counselling and Student Health services at Saskatchewan Polytechnic. The Coordinator will need knowledge of various other teams and departments within Saskatchewan Polytechnic to make appropriate connections for processes and procedures (Student Services Operations Coordinators, the Faculty of Nursing and Health Sciences, Student Relations, etc.).
The Coordinator provides planning, organization, documentation, development, and implementation of project management, data management, and other supports for Counselling and Student Health Services. The Coordinator is responsible for collecting, analyzing, and communicating data, developing reports for the Director of Counselling, Accessibility and Student Health, and responding to requests from Student Services and other institutional partners. The Coordinator contributes to the education of the Saskatchewan Polytechnic community in Counselling, Student Health Nurse and student well-being information and initiatives. This includes the development and ongoing support of resources, Brightspace courses, self-serve resources, information on the public Counselling and Student Health Nurse Services webpages, and the management of the Counselling and the Student Health Nurse Services SharePoint for internal Saskatchewan Polytechnic staff and faculty.
The Coordinator acts as the lead super user/administrator of the Point and Click software for the Counselling and Student Health Nurse teams. Point and Click software maintenance, trouble-shooting, customization, and updates are the sole responsibility of the Coordinator of Counselling and Health Services. The Coordinator's position is pivotal in providing direction and solutions to Counselling and Health Services staff and other departments (Student Services Operations Coordinators, etc.) as the expert. The coordinator is the primary contact for troubleshooting and guidance on technical, systems, and process problems within Counselling and Student Health Services. The coordinator manages escalated system concerns with Point and Click Zendesk ticketing system and/or personnel. The coordinator is responsible for immediate and long-term solutions when issues are identified by staff. The coordinator supports faculty and staff directly, with navigating our online system, Point and Click.
1. Receive, analyze, complete and coordinate all administrative duties for the Director of Counselling, Accessibility and Health services. Duties may include; scheduling meetings and tasks, preparing documents, recording minutes, creating and managing action items, tracking and compiling data, preparing reports, managing calendars, and other duties, as required.2. Compile and complete detailed reporting on Counselling Services, and Student Health Nurse services, supports, and activities.3. Develop, implement, monitor, and continually improve department wide administrative processes, standards, and guidelines for use by Counselling services staff, and/or Student Health Nurse staff, in adherence with procedures and protocols within Saskatchewan Polytechnic.4. Lead, administer, monitor, and coordinate the development and implementation of projects or initiatives, as required by the Director of CAH.5. Point and Click software administration, maintenance, trouble shooting, training, creation of self-serve documents, and support for users including faculty and staff, etc.6. Liaise between Counselling Services, Student Health Nurse services, Point and Click Solutions, Saskatchewan Polytechnic Tech Services, and Banner administrators, to ensure the effective coordination of the software in supporting student needs.7. Provide research and analysis, as required by the Director of CAH, to support projects, best-practices and new initiatives for student health and well-being.8. Collaborate with other areas internal and external to Saskatchewan Polytechnic to support best practice processes for students.9. Conduct oneself and complete all working tasks in adherence to the ethics of confidentiality, privacy, respect for and preservation of the inherent rights and dignity of the student, HIPPA, PIPEDA, and other relevant legislation.10. Manage and maintain the Counselling and Student Health Services public web-pages, internal TEAMS sites, and team Share Point sites. Monitor and manage additional email accounts, as may be required.
