What you will do:


Under the general direction of the Strategic Program Director, Admissions and Enrolment Rethinking and CRM Centre of Excellence in ITS Enterprise Applications, the Administrative Assistant is responsible for providing confidential office and administrative support for the IT Enterprise Applications management team, supporting the development and tracking of operational budgets, processing, developing and maintaining reporting dashboards for processes across the IT Enterprise Applications portfolio with a focus on the Admissions and Enrolment Rethinking and CRM Centre of Excellence initiatives.


Other Responsibilities Will Include:


  • Creating and tracking both operational and capital budgets, and preparing and tracking department invoices
  • Book travel arrangements and submit and reconcile expense reports
  • Maintaining schedules, planning events, and coordinating meetings or events
  • Creating and maintaining dashboards and regularly scheduled reports
  • Produce and distribute correspondence memos, letters, faxes, and forms including taking accurate meeting notes, actions and agendas for regulary scheduled meetings
  • Research and creates presentations
  • Develop and maintain a digital filing system
  • Carry out administrative duties such as filing, typing, copying, binding, scanning, etc.
  • Ensure operation of equipment and software for team by tracking and following up on completion of preventive maintenance requirements; warranty expirations, calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques
  • Maintain professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies
  • Cover the onsite admin role for ITS when required
  • Handle sensitive information in a confidential manner
  • Develop and update administrative systems.
  • Procurement activities including adhering to Humber's Procurement processes for external services/purchases
  • Liaising with external vendors
  • Contract management including adhering to the process for legal review and approval of contracts and agreements.

What you bring to the role:

Basic Qualifications

  • Minimum of 5 years' experience providing Administrative Assistant support in a fastpaced environment
  • Exceptional proficiency in Office 365 (Word, Excel, Power Point, Teams, Planner
  • Power Apps would be a benefit)
