    The Arnie Charbonneau Cancer Institute in the Cumming School of Medicine invites applications for an Administrative Coordinator. This Full-time Fixed Term position is for approximately 1 year (based on length of grant funding), with the possibility of extension.

    The Riddell Centre for Cancer Immunotherapy, a research centre within the Arnie Charbonneau Cancer Institute is seeking a full-time Administrative Coordinator.

    The Riddell Centre for Cancer Immunotherapy is a research centre of excellence that brings together a large and diverse team of researchers, clinicians and trainees all working towards a common mission; to develop innovative immunotherapies for cancer patients with high unmet needs, within a fully integrated bench-to-bedside translational research ecosystem that fosters discovery, invention, preclinical research, and rapid evaluation in early-phase clinical trials. The Administrative Coordinator will work to advance this mission by providing administrative support to the Riddell Centre's leadership team and investigators.

    The Administrative Coordinator will report to the Associate Director of Business Operations within the Riddell Centre and will be located in the Arthur J.E. Child Cancer Centre at the University of Calgary's Foothills Campus.

    Summary of Key Responsibilities (job functions include but are not limited to):

    • Workflow Management:
      • Prioritizes and schedules meetings for the Director and coordinates their attendance at seminars and conferences, while balancing their diverse responsibilities and commitments
      • Use judgement to manage the Director's time effectively, prioritizing incoming meeting requests based on importance and urgency
      • Ensure the Director has all necessary information for each meeting, including minutes and action items from the previous meetings
      • Arrange for appropriate delegates to represent the Director in case of scheduling conflicts
      • Ensures the Director is informed of scheduled meetings and travel itineraries and works ahead to assemble the required documentation and briefing notes
      • Handle travel arrangements and expense report processing for the Director
      • Book and coordinate Riddell Centre committee meetings, leadership meeting, strategic advisory board meetings, international scientific advisory board meetings, and any ad-hoc meetings called or led by the Director of the Riddell Centre, or the Centre's leadership team
    • Administrative Support (for Riddell Centre Investigators):
      • Assist investigators with financial tasks, including reconciling credit cards, submitting journal transfers, monitoring research account spending on eFIN, and project account set-up
      • Support grant submissions, including managing submissions in the University's research management system, assisting with document assembly and tracking, managing references in proposals, and reviewing grant applications for completeness according to competition guidelines
      • Assist with human resource needs, including monitoring personnel start and end dates and submitting job change requests as needed
      • Manage investigators' calendars as requested
      • Occasionally attend relevant meetings, take minutes, and distribute approved minutes to attendees
      • Perform other administrative tasks as requested

    Qualifications / Requirements:

    • Bachelor's degree in related discipline and 3+ years of progressive administrative support experience (a combination of skills and experience will be considered). Master's degree is an asset
    • Previous experience in high-level coordination and administrative roles within a post-secondary or research environment is an asset
    • Previous experience working within the University of Calgary is an asset
    • Excellent organizational skills and attention to detail
    • Exceptional professional communication and interpersonal skills
    • In-depth knowledge and experience of University policies, procedures and core business systems
    • Demonstrated ability to manage multiple projects and major events, set priorities and be proactive in meeting deadlines
    • Ability to handle confidential materials with discretion, maintain a high level of professionalism, and exhibit diplomacy and sound judgement
    • Advanced skills in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint), Adobe, Internet Skills, PeopleSoft, and eProcurement Systems
