    There is a vacancy for the position of Bilingual Senior Administrative Assistant (Grade 4) assigned to the SEP Department.

    The position is based at our Headquarters office in Ottawa, Ontario, with regular in-office presence expected.

    Duties include but are not limited to:

    • Arrange meetings, maintain committee contact lists, inform committee members about meeting arrangements, distribute materials, respond to enquiries, make arrangements for meals and refreshments;
    • Provides assistance on campaigns and projects;
    • Register participants for conferences and events;
    • Organize and maintain files within parameters of the records management system;
    • Make travel arrangements as needed including visas, itineraries, accommodation, schedules;
    • Produce correspondence, reports, briefs, bulletins, and other documents;
    • Format documents, scan text and graphics, manipulate charts and graphs;
    • Edit and proofread documents and review for grammar and spelling;
    • Use specialized software to format and/or draft layout design for publications;
    • Draft routine correspondence and reply to email enquiries;
    • Answer phones, screen calls, take messages, answer enquiries and direct calls to appropriate person;
    • Open, sort, prioritize and distribute incoming mail;
    • Arrange for translation as needed, taking into account priorities and deadlines;
    • Post material on the web as requested;
    • Conduct information searches on the Internet;
    • Take notes at meetings as requested; and
    • Perform other related duties as assigned.

    Qualifications:

    • Post-secondary education in administration with two to three years' relevant experience;
    • Oral and written fluency in English and French is essential;
    • Professional level written and verbal communication skills;
    • Excellent proofreading and formatting skills;
    • Proficiency with MS Office suite;
    • Familiarity with Google Docs, InDesign and databases considered assets; and
    • Ability to work effectively as part of a team as well as independently.

    The salary range for the position is $66,952.54 to $70,496.41, plus benefits under the COPE 225 collective agreement. They include a four (4) day work week (30 hours), generous health, vision, and dental benefits, group life insurance and LTD coverage, pension, as well as fitness allowance, free parking, and other staff perks.

    Ce poste est situé au siège national du CTC à Ottawa, en Ontario ; une présence régulière au bureau est attendue.

    Les fonctions incluent sans toutefois se limiter à :

    • Organiser des réunions, maintenir les listes de contacts pour les comités, informer les membres des comités des détails de la réunion, distribuer le matériel pertinent, répondre aux demandes, faire les arrangements nécessaires pour les repas et les rafraîchissements;
    • Fournir de l'aide lors de campagnes et projets;
    • Inscrire les participantes et participants lors de conférences et d'événements;
    • Organiser et conserver les dossiers selon les paramètres du système de gestion des dossiers;
    • Effectuer des préparatifs de voyage lorsque requis, y compris les visas, les itinéraires, l'hébergement et les horaires;
    • Préparer de la correspondance, des rapports, des mémoires, des bulletins et d'autres documents;
    • Faire la mise en page des documents, numériser des textes et des graphiques, manipuler des tableaux et des graphiques;
    • Relire et corriger des documents et vérifier la grammaire et l'orthographe;
    • Utiliser un logiciel spécialisé pour effectuer la mise en page ou l'ébauche d'une conception graphique de publications;
    • Rédiger de la correspondance courante et répondre à des demandes de renseignements par courriel;
    • Répondre au téléphone, filtrer les appels, prendre des messages, répondre aux demandes et diriger les appels aux personnes appropriées;
    • Ouvrir, trier, prioriser et distribuer le courrier reçu;
    • Envoyer les demandes de traduction lorsque nécessaire, en tenant compte des priorités et échéances;
    • Afficher des documents sur le Web, sur demande;
    • Effectuer des recherches d'information sur l'Internet;
    • Prendre des notes lors des réunions, sur demande;
    • S'acquitter des autres tâches pertinentes attribuées.

    Exigences du poste:

    • Études postsecondaires en administration, ainsi que deux à trois années d'expérience pertinente;
    • La maîtrise du français et de l'anglais, à l'oral et à l'écrit, est essentielle;
    • Compétences en communication professionnelle écrite et verbale;
    • Excellentes compétences en correction et mise en page;
    • Maîtrise de la suite MS Office;
    • Connaissance de Google Docs, InDesign, et de bases de données constitue un atout;
    • Capacité de travailler efficacement en équipe et indépendamment.

    Le salaire annuel rattaché à ce poste se situe entre 66 952,54 $ et 70 496,41 $, en plus des avantages sociaux prévus dans la convention collective de la section locale 225 du SEPB. Ces avantages comprennent la semaine de travail de quatre jours (30 heures), un généreux régime de soins de santé, de soins de la vue et de soins dentaires, une assurance-vie collective et une assurance-invalidité de longue durée, une allocation de conditionnement physique, le stationnement gratuit et d'autres avantages pour le personnel.
