    The Cumming School of Medicine invites applications for a Program Manager, Master of Physician Assistant Studies. This Full-time Fixed Term position is for approximately 2 years (based on length of grant funding), with the possibility of extension.

    This position reports to the Medical Director, Master of Physician Assistant Studies (MPAS).

    The Master of Physician Assistant Studies Office oversees 20-40 graduate students year-round. In accordance with policies and standards established by the University of Calgary and the Cumming School of Medicine, the Program Manager oversees the Program Specialist, Program Administrative Assistant, and the daily operation of the Master of Physician Assistant Studies Office.

    The Program Manager has the expertise and ability to provide training and guidance to the Program Specialist and Administrative Assistant to help future and continuing students navigate through policies and procedures to ensure a positive student experience. Working closely with the Medical Director and the Assistant Director, the Program Manager creates an environment where diverse ideas, perspectives, and achievements are recognized, rewarded, and celebrated.

    Additionally, the incumbent must develop the Cumming School of Medicine Master of Physician Assistant Studies program's policies/ regulations, student handbook and job aids by following FGS/University of Calgary policies, and Alberta Health Services (AHS) regulations and documents as they relate to clinical placements.

    Regular work hours are Monday to Friday 8:30 am to 4:30 pm. Occasional overtime may be required during peak periods. Some independent travel throughout the City of Calgary may be required.

    Summary of Key Responsibilities (job functions include but are not limited to):

    Program Operation:

    • Leads the operation, student advising, and placement services in the program
    • Overseas and addresses the ongoing needs of the student advising and placement services to ensure that resources are used effectively
    • Manages the program timetabling process and calendar entry; and oversees course scheduling and enrolment
    • Manages policy and process development for student advising and placement services in departments
    • Develops resource plans (staff, space, budget, equipment, etc.) and allocate resources to meet the objectives and evolving needs of students and the University
    • Responsible for initiating and maintaining the momentum for program work to be completed in a satisfactory time frame
    • Supports sessional instructors hiring, onboarding, and smooth transition into the roles

    Strategic Planning and Change Management:

    • Contributes to the development and implementation of vision and strategic plans for the program
    • Contributes to and initiates the development of policies and procedures that represents the interests and issues of the program to the Cumming School of Medicine, Faculty of Graduate Studies and central administration
    • Proactively identifies potential problems and proposes mutually acceptable solutions to internal and external parties involved
    • Tactfully takes the initiative to investigate and resolve business processes and practices, which are broken or are not working smoothly
    • Tracks key analytics and develops reports to support decision-making, particularly around enrolments
    • Maintains a productive relationship with the internal stakeholders within the University of Calgary and external stakeholders including Alberta Health Services, Covenant Health, external/community agencies, and other post-secondary institutions

    Leadership and Team Management:

    • Build and lead a team with a clear sense of direction and results orientation
    • Proactively determines positions that support the strategic goals and growth of the program
    • Staff management
      • Manages the creation job profiles, hiring, and onboarding of staff
      • Performs and engages staff in annual performance reviews
      • When required, performs disciplinary, including terminations, actions
      • Oversees the complete range of human resource management for operational staff
      • Ensures all staff have a Hazard Assessments in place to reduce risk for their position
    • Ensure staff are well trained, competent, supported in their work and encouraged in their development
    • Responsible for establishing work and timelines for the staff including but not limited to: admissions, course registration, grade changes, appeals, awards, program completion and milestones, clinical placement, etc.
    • Provides leadership, guidance, and direction for situations and issues that require investigation or response
    • Demonstrates inclusivity in work processes and work teams. Actively seeks out and invites alternative viewpoints in planning, discussions, and decision-making

    Qualifications / Requirements:

    • Bachelor's degree in a relevant discipline (eg. Education, Business, Health/Science) is required. A Master's degree in a similar field would be considered an asset
    • Minimum of seven years of experience in health sciences education program development and administration
    • Two or more years of experience managing or leading a team, preferably in a post-secondary environment
    • Experience supervising in an unionized environment an asset
    • Familiarity with the University environment at a decision-making level and experience in policy development and implementation
    • Experience with course and program development and administration
    • Demonstrated success in supporting/leading change efforts. Proven work and demonstrated ability to work collaboratively, build consensus, maintain confidentiality, and ensure sensitivity to the needs and interests of a variety of stakeholders, and support the functioning of a diverse team
    • Budget formulation, negotiation and control
    • Strong interpersonal and communication skills and the ability to represent the University of Calgary in a professional manner
    • Highly developed problem-solving, analytical and organizational skills
    • Experience with D2L, one45, on-line student information systems, or other learning management systems
    • Advanced knowledge of Microsoft applications (Word, PowerPoint and Excel), Adobe Acrobat, Adobe Connect, Outlook, PowerBI and Internet applications
