- Managing and providing Admin support for all the technical documents with the AMO - that are critical to day to day operation
- Cross training with respect to the Technical Records Administrator
- Ensuring that AMO invoices are prepared and ready to distribute to customers
- Assisting with Warranty claims to vendors - including our internal process
- Delegating tasks and ensuring that they are completed in accordance with existing policies and procedures.
- Greeting visitors and directing them to the appropriate parties. / shared duty with Customer Success Representative
- Handling basic office duties, such as answering and routing phones, responding to emails, data entry, and reporting.
- Answering questions and finding information for employees, vendors, clients, and lenders.
- Supporting employees by facilitating interdepartmental communications and interactions between internal and external parties.
- Assisting with special projects, such as process improvements and budget development.
- Developing and implementing new policies and processes. (Standard Operating Procedures)
- Maintaining a 'Staff Vacation Calendar' - consolidating information from the responsible Team Leads Education and Experience:
- High school diploma or equivalent.
- At least 3 years' experience in the administrative support field.
- Exceptional interpersonal, written, and verbal communication skills.
- Proficiency with office technology and equipment, including fax machines, printers, copiers, scanners, and computers, including software such as - Excel - SmartDraw - Power Point - MS Word and previous experience with an ERP system such as MS Dynamics / NAVISION / Business Central
- Previous experience in General Aviation considered - desirable Skills and Knowledge:
- Strong initiative and determined attitude with pride in their work
- Strong 'Team Work Skills'
- Ability to manage multiple timelines simultaneously
- Navision and or Business Central - knowledge / experience considered and asset
- Ability to create presentations, use of Power Point as an example - considered an asset
- Advanced knowledge of Excel - considered an asset
- Ability to use Adobe - considered an asset
- Sales Force knowledge considered an asset
- Creativity and strong problem-solving skills.
- Solid presentation skills.
- Ability / skill to perform basic accounting tasks - invoicing
