    The Role

    This position is responsible for managing day-to-day operations of national facilities services. Working closely with the Sr. Director, the Sr. Manager will support efficient financial management through effective budgetary planning, monitoring, controlling and operations.

    The Sr. Manager will also support the successful execution of all work related to design, planning, allocation, occupancy, and usage of office space for the MCAP premises across Canada. The role also plays a pivotal role is executing special projects as assigned, aimed at improving performance and or profitability in business operations. The Sr. Manager has a client focus, continuously aiming to optimize the employee experience across all MCAP locations.

    National Facilities Operations

  • Ensure the overall performance of all facilities and affiliated functions throughout the organization.
  • Working closely with the Sr. Director, support strategic and operational planning functions for all MCAP offices.
  • Partner with the Sr. Director to manage the administration and performance compliance for all leases, manage national vendors and supplier relationships, and ensure contract compliance.
  • Ensure compliance with all applicable regulatory requirements, support the development of standard operating procedures and policies.
  • Responsible for the collection and reporting of accurate and timely key performance indicators (KPIs).
  • Site Development & Special Projects

  • Analyze and develop opportunities to achieve the objectives of assigned projects.
  • Develop implementation plans for approval.
  • Execute plans, track results and report on results achieved.
  • Gather and document business leaders and user needs, specifically detailing the requirements, expectations, deliverables, and budget.
  • Prepare any required documentation outlining the proposed space plan, resources required and budget estimates for presentation to the appropriate approval committees and forums.
  • Possess a clear understanding of the business and culture driving the business to help ensure appropriate representation of the desired image, budget, and overall requirements.
  • In partnership with the Sr. Director and key project stakeholders, support project life cycle management.
  • Work with all resources (IT, vendors, contractors, designers) to ensure delivery ofspace within scope of the project.
  • Escalate project changes and increase to scope as appropriate.
  • Participate in and make recommendations on the selection of the construction process, space plan, furniture procurement with vendors/contractors/internal resources.
  • Scan for continuous improvement opportunities, anticipate potential obstacles and develop contingency plans.
  • National Facilities Liaison

  • Partner with Sr. Director to understand company objectives and map opportunities that will achieve the business goals of MCAP.
  • Meet with business unit leaders on a regular basis to plan for changing needs and growth.
  • Business Continuity, Disaster Planning, Health & Safety

  • Member of Business Operations Recovery Plan Committee and Pandemic Committee.
  • As the Facilities operations subject matter expert, serve as Facilities lead for the Business Continuity Management Plan and Facilities Business Unit Response Plan.
  • Contribute to all Facilities related planning for disaster mitigation (. COVID-19, G20, and business recovery (. BORP, BURP, .
  • Receive Call Tree Report for HR, Facilities and Management.
  • Participate in disaster recovery simulation exercises.
  • Take a lead role in creating a culture of safety, risk mitigation, quality, and service.
  • Act as co-chair of MCAP Health & Safety Committee.
  • Lead and Manage Staff

  • Champion the company's Vision, Mission and Values as set out in the Strategic Plan both internally and externally within the industry.
  • Provide leadership, direction and motivation to staff in order to facilitate the achievement of goals and objectives.
  • Partner with the Sr. Director to set and manage to departmental objectives, metrics and performance standards.
  • Act as a resource for other members of the Facilities team.
  • Participate in the recruitment, selection, performance management and termination of staff.
  • Educate, coach and counsel staff to ensure they are empowered to effectively handle their roles in a confident and professional manner.
  • Identify staff's strengths to provide suitable career pathing.
  • Establish goals and provide guidance to encourage development of employees.
  • Identify gaps in performance and develop a plan for improvement.
  • Conduct performance reviews to provide staff with feedback.
  • Develop staff in keeping with succession planning and ongoing business requirements.

  • Understanding of principles of risk management and emergency procedures
  • Strong interpersonal and communication skills; professional, diplomatic and confident with a proven ability to work with individuals across all levels of the organization.
  • Ability to establish and maintain effective working relationships with others including IT staff, vendors, contractors, property management.
  • Demonstrated ability to work effectively with a broad range of stakeholders and ability to prepare and present a variety of recommendations to senior management and customers.
  • Thorough knowledge of principles, practices and techniques concerning space planning.
  • Operational understanding and practical application of formal project management, disciplines with an in-depth knowledge of construction and space procurement practices.
  • Possess a clear understanding of the business and business culture to ensure appropriate representation of the desired image and overall requirements within a budgetary framework.
  • Ability to lead change initiatives and to foster a positive employee relations environment.
  • University Degree/College Diploma or related experience in Facilities project development and implementation
