    JOB DESCRIPTION

    Within Ecolab's head office located in Mississauga, the Office Supervisor, 7-month contract will ensure the smooth and efficient operation of the Ecolab's head office mailroom and reception area. In addition, the position will provide support to ensure the head office buildings (including a plant and warehouse) are appropriately maintained.

    • What you will do:

  • Managing all mailroom activities in a timely and accurate manner including the release of daily invoices, couriers, return mail and the deposits of cheques.
  • Ensuring the proper coding of all invoices; coordinating with payroll and A/P to resolve any discrepancies.
  • Handling the invoices related to office services including equipment leases, courier services and general office supplies.
  • Arranging for appropriate vendors, service providers and trades-people to make required repairs or general service to plumbing, heating and air conditioning systems, electrical systems, office furniture or other areas relating to the building maintenance.
  • Monitoring of the security system and ensure all the buildings have appropriate functioning security, as well as coordinating the maintenance of all office equipment and phone systems.
  • Resolve any concerns and issues identified by Health and Safety committee.
  • Supervising the work activity of the reception and temporary hires.

    • Key Qualifications:

  • Post secondary education required
  • 2 years of supervisory experience
  • 2 years of office management experience preferred
  • Demonstrated proficiency in MS Word, Excel, PowerPoint and Outlook. SAP knowledge would be an asset. Excellent interpersonal and communication (written and verbal) skills.
  • Ability to work with minimal supervision.
  • Ability to interact in a professional manner with all levels of the organization.

    • Location: Position is located at the Ecolab head office in Mississauga.
