    Position:
    Administrative Coordinator


    Location:
    Barrie, On


    Salary:
    $40-44K

    Hours: 8am-4pm (35 hrs/week + 1 hr lunch break)
    Gather Recap information regarding new jobs awarded & relay information to Accounting department to have a Recap/Job number assigned
    Compile and update Tender/Contract documents and requirements for bid/quotation submissions
    Review project requirements and obtain required documents such as: Insurance Certificates, MOL Notice of Project, WSIB Clearance Certificates, Statutory Declarations, Substantial Completion Certificates & posting in Daily Commercial News

    File all job-related information in Job Files ie: Quote, Recap form, Client Purchase Order, supplier invoice copies, test information, video information, email communications, letters, reports, IWS/IWC invoices.

    Prepare manuals for clients
    Issue purchase orders
    Coordinating and booking out of town accommodations for Field/Service Crews
    Prepare & arrange shipping of parts/equipment
    Special projects for Project Management and Accounting departments if/when need arises
    Assist with weekly Health & Safety meetings
    Preparation and updating Safety books
    Obtaining WSIB Clearance certificates for on-site subcontractors
    Coordinating training requirements
    Assist with organizing DZ training, Forklift training, ELD maintenance
    Maintain current copies of SDS information sheets
    Prepare draft labour summaries for Project Managers
    Assist with finalizing draft invoices, Submit approved invoices to client

    Requirements:
    Strong verbal and written communication skills
    Proficient in Microsoft Word, Excel, Adobe Acrobat
    Construction and Safety based Administrative background would be an asset
    Ability to work independently as well as part of a team
    2-3 years' experience

    Pay:
    $40,000.00-$45,000.00 per year
