Reporting to the Director, Enterprise Commons - Solution Delivery Lead, the Project Coordinator is responsible for supporting the delivery of the Enterprise Commons program.
In collaboration with the Enterprise Commons (EC) Project Management Office, the Project Coordinator will use project management skills to coordinate and execute project plans and monitor project spending against budget, timelines, and deliverables.
Your success will be measured by your ability to achieve timely results in the context of a respectful, inclusive and service-minded style.
Support the EC Project Management Office to plan, manage, monitor, and report on multiple concurrent projects
Manage multiple tasks simultaneously - both time management and prioritization of work is continuous; there are often competing priorities which need to be managed
Record, monitor, and report dependencies between projects
Track and report on project budgets and costs
Develop and maintain project schedules in collaboration with the functional and module leads
Prepare project status reports
Support the development of reports and presentations
Work with EC Project Management Office team and functional leads to manage risks, issues, and decisions through the governance process
Support the functional leads with development of project plans
Monitor compliance for knowledge management for projects, ensuring document revision controls, records management and project working papers management
Coordinate information from different sources for accurate reporting
Manage FlexTrack contract including recruitment, onboarding and offboarding of contract resources, invoicing and billing. Main point of contact between City and FlexTrack
Update purchase order (PO) information in Ariba as required
Assist functional Leads with project documentation and file management
Support Program Coordination Stream Lead with logistics for program team
Perform other related duties as assigned
Qualifications:
Bachelor's degree in public policy, business management, information technology, public administration or a related field
Project Management Certification would be considered an asset
ITIL framework and Cobit training would be considered an asset
A minimum of five years progressive experience coordinating complex projects concurrently with multiple interdependencies. This experience must include project coordination of large-scale projects with corporate implications
Considerable knowledge of project management principles and methodologies
Knowledge of program and project management software tools (Microsoft Project, Smartsheets, etc.)
Knowledge of IT technologies (databases, networking, domain administration, security, exchange, infrastructure, servers, etc.)
Good project management and priority setting skills
Strong communications (written and verbal) skills to translate complex material to plain language and prepare materials (emails, agendas, meeting minutes, project documents, etc.)
Good facilitation, presentation, consultation, and negotiation skills
Professional judgment and decision-making skills
Ability to work well in a team environment and with diverse stakeholders
Ability to work within tight deadlines
Ability to provide leadership and guidance to project teams, working groups, and stakeholders
Ability to be flexible, think strategically, analytically and creatively, analyze issues, and recommend solutions
Ability to manage resources, time, stress, and changing priorities
