    BBSI is looking for a candidate that is flexible and extremely driven as the job description is not limited to the tasks listed below. The candidate must be able to handle changing priorities.

    Reports to: Director of Finance and Resource Planning

    Responsibilities:

    Be the face of the Admin and Receptionist Function at BBSI – code, enter, verify and process sales orders timely and accurately, effectively coordinate and communicate with the internal team and provide exceptional customer service

    Support sales cycle by monitoring a steady flow of sales orders – starting from the order receiving stage to arranging shipment (schedule courier/driver services) to customers' locations, to confirmation of deliveries, sending out sales invoices and conducting follow-up, as needed

    Facilitate changes to any electronic data interchange (EDI) systems

    Handle customer inquiries, confirmations, shipping and stock by phone, EDI or email.

    Ensure reception area is kept in order and confidential matters are handled discreetly

    Prepare and organize documents for exports through cross-training, as needed

    Maintain and build pricing lists – National Price Lists and more

    Collaborate with diverse departments, including warehouse, operations, quality control, sales and finance on issues related to orders etc.

    Scan invoices, where applicable, along with filing and organizing backup documents

    Maintain front entrance area, ensuring visitor logs and sign-in sheets are completed and ensure protocol for COVID are being followed

    Attends to mail and courier services; stamp outgoing mail, prepare courier packages and send out at the end of each day

    Support the ongoing efforts for process improvement by the Finance Director – has a basic understanding of accounting and is willing to learn and be challenged

    Assist in providing information to external auditors at year-end

    Assist with office management tasks including social gathering planning and organization, organizing boardroom calendar and other administrative duties as assigned

    Strong interpersonal skills and reception skills - friendly, approachable, polite, enthusiastic, excellent customer service skills etc.

    Able to understand and work on building out, maintaining and updating customer pricing and costing sheets weekly and monthly on excel

    Work with finance director and sales director closely for pricing and costing

    Basic understanding of CAD vs USD and an understanding of FX impact on pricing

    Able to maintain track and maintain credit limits, and understanding of Accounts Receivable

    Able to identify, understand, and resolve customer inquiries in a timely manner

    Basic accounting knowledge with regards to sales - understanding of sales, cost of sales, margins, general ledger

    Track some weekly and monthly sales KPIs

    Requirement:

    · A College diploma or an equivalent combination of education and experience

    · 4 years of relevant administrative/sales experience

    · Superior knowledge of Microsoft Office and Exceptional Excel skills

    · Highly organized, have a sense of urgency, flexible and able to deal with changing priorities

    · High degree of attention to detail and accuracy

    · Ability to work independently, prioritize tasks and take ownership of your work

    · Driven and ability to work with minimum supervision

    · Ability to problem-solve - identify issues and derive optimal solutions

    · Excellent oral and written communication skills to interact with customers and stakeholders

    · Experience with Microsoft Dynamics NAV JustFoods accounting software, an asset
