    The Faculty Development team in the Development Office is currently seeking a Full-time Regular Development Coordinator (Faculty of Science Priorities).

    Science research and innovation at the University of Calgary are in for an extensive and game-changing expansion thanks to a $55 million investment in the creation of a new multidisciplinary science hub in the Government of Alberta Budget 2024. Construction of the Hub should begin next year, with an expected opening in 2029. The Faculty of Science will embark on an ambitious capital campaign to raise philanthropic dollars to support this project.

    The Development office exists for the mutual benefit of the University of Calgary and its stakeholders and coordinates development and alumni relations. The development area in particular is an active, collaborative team that enhances University fundraising efforts in support of designated University priorities.

    The Development Coordinator will provide administrative assistance with emphasis on decision-making and highly developed organizational skills in support of the Faculty of Science. The incumbent will work with key staff in the faculty, including the Dean of the Faculty of Science, as well as Development team members. The Development Coordinator is often the first point of contact for the Development leads, and has access to highly sensitive and confidential information, and interacts with key external stakeholders including donors, alumni and community leaders.

    Summary of Key Responsibilities (job functions include but are not limited to):

    Administrative Priorities:

    • Supporting development team in all aspects of donor/prospect meetings:
      • drafting briefing notes for donor meetings
      • requesting and analyzing research
      • developing strategies for approaching donor prospects
      • assist in document preparation, editing, and proofreading.
      • recording contact reports in Blackbaud CRM
    • Managing all aspects of smaller gifts and sponsorships ($10,000 or less) coming into the Faculty of Science
    • Meeting Coordination - arrange and organize meetings, including preparing agendas and necessary materials.
    • Requesting, booking and confirming of appointments, scheduling meetings, event attendance, etc.

    Database Management Priorities:

    • Managing the Blackbaud CRM donor database
    • Requesting updates to the database for the Faculty of Science
    • Creating and interpreting sophisticated data queries and reports
    • Maintaining donor and volunteer lists
    • Managing list of key stakeholders
    • Entry of all other donor advancement actions into Blackbaud CRM on a timely basis assuring up to date information on donor/prospect relationship
    • Compliance with the university's prospect management procedures
    • Supporting priority fundraising projects with prospects lists, financial and monitoring reports
    • Maintaining donor records via shared drive and hard copy files
    • Managing electronic and paper files for the teams
    • Drafting of gift documentation including terms of reference for student awards and gift agreements
    • Processing donations and donor designations to support sound financial management of philanthropic gifts (submission of Gift Designation Forms, processing of Gift Agreements, Checklists and Terms of Reference)
    • Generating well-written correspondence from self and on behalf of the Development team
    • Supporting the processes and systems developed by the Faculty of Science development leads in its activities (e.g. Constituent relationship management (CRM) data entry)
    • Building and cultivating relationships with donors, alumni, key community stakeholders and members of business community through excellent relationship building skills.

    Qualifications / Requirements:

    • A minimum of 3 years experiences directly in fundraising, community engagement or communications is required.
    • A university undergraduate degree would be considered essential.
    • Advanced-level skills in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint) including specific knowledge in the functions of complex scheduling, mail merges, excel spreadsheets word documents and business letter formatting is required.
    • Other technology skills including Internet research, databases interfaces, PeopleSoft and web content management are required. Knowledge of document sharing platforms (SharePoint, MS Teams).
    • Must have proven donor centered skillset in dealing with internal and external stakeholders.
    • The successful candidate will possess maturity, self-confidence, and poise to deal appropriately with a wide variety of people and situations from the student level to high-profile community leaders and dignitaries. He or she must be self-directed and have superior interpersonal communication skills, both verbal and written, as well as excellent listening and interpretive skills.
    • A high degree of accuracy and attention to detail is required, with the ability to prioritize often conflicting demands. The impact of error is very high as inaccurate advice or information has serious consequences for the reputation of the faculty and of the University.
    • Demonstrated ability to be resourceful, creative, innovative, and flexible.
    • Must have proven ability to interact in a professional manner and build positive relationships with clients and team members.
    • Must have proven ability to remain positive and confident under pressure.
    • Must have proven ability to exercise judgment within established guidelines.
    • Blackbaud CRM database experience is a requirement, (e.g.: higher level functions like queries, exports, imports and mail).
    • Must have proven ability to project manage both small and large events and projects.
    • A high level of knowledge and understanding of university policy and procedures associated is an asset.
