    Description

    Vancouver based company in the financial services industry is looking to hire an Administrative Assistant to join their team.

    This is a full time, permanent role, 100% based in office.

    Location – Downtown Vancouver

    Salary – Up to $52-58k


    Primary duties will include:

    • Processing of insurance applications for the entirety of the application life cycle – including but not limited to data entry, assisting with the underwriting process, processing of settling documentation/policy contracts and assisting with future servicing requests.
    • Processing of Segregated Funds via FundSERV back-office system, maintaining daily deadlines. You will serve as a liaison between the financial advisor and fund company, dealing with deposits, withdrawals, switches, transfers, PAC changes or other required instructions.
    • Responding to Associate inquiries in a timely manner, resolving potential issues, processing transactions expeditiously and accurately, escalating concerns to the Managing Partner as needed.
    • Assisting with processing of Mutual Funds in the absence of other Team Members
    • Providing administrative support and collaborating on ad hoc projects as required.
    • Coordinating workflow with other team members
    • Schedule and coordinate meetings with clients to ensure timely and efficient communication.
    • Prepare materials needed for client meetings
    • Managing and organising documents, manage client inquiries related to administrative matters
    • Maintain accurate client records
    • Handle investment paperwork, including documents from Investia.
    • Follow up on documents/forms to ensure completion and accuracy.

    Requirements:

    • Proven experience in administrative support or related roles.
    • The ideal candidate will be a polished, positive person who pays excellent attention to detail and prioritizes tasks
    • Previous experience in the investment/insurance industry
    • Good interpersonal skills and ability to work well with others.
    • High level of attention to detail in work
    • Ability to multi-task and take initiative while working in a fast paced environment.
    • Excellent communication skills – both verbal and written.
    • Experience in financial or investment-related administrative tasks
    • Excellent organizational skills with meticulous attention to detail.
    • Proficient in utilizing computer systems and software applications.
    • Proficiency in using CRM software and Microsoft 365
    • Ability to multitask and prioritize tasks effectively.
    • Problem-solving skills and a proactive approach to addressing challenges.
    • Ability to work both independently and within a team
