    Here is what you will be doing:

    The Project Coordinator will ensure that goals and objectives specified for the project or program are accomplished in accordance with Ontario Health's established priorities, time limitations, funding limitations or other specifications. They will support the program in the successful delivery of Ontario Health initiatives, ensuring strong communication, documentation, and reporting throughout the initiative lifecycle.

    Here is what you will need to be successful:

  • Develops/drafts and manages program artifacts, such as agendas, minutes, scopes, logs (action, issue, risk, decision), integrated program plans, lessons learned and program close out.
  • Ensures all documentation follows standards, is version controlled and loaded onto central project sites.
  • Follows-up on team member commitments and proactively identifies risks.
  • Prepares project financial reports and updates budget tracking reports by scrutinizing variances, verifying account charges, analyzing time reporting records and maintaining financial records.
  • Contacts and engages clients to confirm RSA Tokens required to replace expiring tokens, packages and ships RSA Token replacements to clients, and meets with internal clients on site to provide replacement tokens.
  • Tracks and monitors client responses, token inventory, and packaging/shipping supplies.
  • Prepares scheduled and ad hoc reports and undertakes special projects as assigned.
  • Prepares, submits, and tracks technical requests for change (RFCs) and monitors/reports on their execution to support program delivery.
  • Supports team and team members to achieve success.
  • Suggests strategies/methods/processes of improving performance of the program to the Team Lead or Manager for consideration/approval.
  • Makes suggestions for improvements to administrative processes and procedures.
  • Focuses on improving healthcare delivery in the province through positivity and being engaged.
  • Makes decisions that have limited/moderate impact.
  • Monitor specific program deliverables and timelines, coordinate risks and issues and communications as an integral member of the team.
  • Education and Experience

  • College diploma/certificate in a related field.
  • 2- 3 years of experience in providing project coordination and administrative services, preferably in a project management environment.
  • Knowledge of Project Management life cycle and methodologies such as Waterfall and Agile.
  • Knowledge of Software Development Life Cycles.
  • Knowledge of project cost accounting principles and practices and managing project budgets.
  • Familiarity with legislation applicable to healthcare organizations such as PHIPA is an asset.
  • Experience in procurement process and vendor management is an asset.
  • Technical knowledge/expertise gained through work experience as a developer or business analyst is an asset.
  • Understanding of Ontario Health business goals and mandate and how it applies to the provincial health care system is an asset.
  • Knowledge and Skills

  • Strong communication skills, both oral and written, to prepare various program artifacts and financial and non-financial reports, present program tracking and other information at meetings.
  • Organizational, analytical, and problem-solving skills with strong attention to detail to scrutinize variances, verify account charges, ensure accuracy, analyze reporting records, and maintain records; prepare, submit, and track requests for change (RFCs) and monitor/report on their execution; ensure version control of artifacts.
  • Ability to build strong relationships with internal clients and external stakeholders.
  • Acumen to resolve conflicts at all team level with tact.
  • Expertise in Microsoft suite such as Microsoft Office Suite, Microsoft Project, Visio and SharePoint, and other productivity tools such as Jira, Confluence, Remedy.
  • Ability to recognize effects of behavior on others and seeks to adjust according to reactions from others.
  • Good negotiation skills to resolve conflicts at all team levels with tact.
  • Ability to facilitate meetings– keep discussion on track and accomplish goals.
  • Ability to see the business value of the work being done and how it fits within the "big picture".
  • Ability to make decisions where results have limited impact on the program/team.
  • Ability to work under the direction of the Team Lead and Manager and within established processes and procedures.
  • Ability to be on site at 525 University Ave office everyday of the project to physically pack and ship RSA hardware tokens.
  • Effort - Physical/Sensory Demands

  • Work involves minimal physical effort normally associated with a corporate office environment and packaging/shipping RSA tokens. Some physical effort involving moving inventory boxes may be required. There is flexibility to change work activities, take a break or alter work position. There is possible eye strain from constant and on-going viewing of computer monitors (or other information readout displays).
  • Working Conditions

  • In most cases, work is carried out during regular business hours but, from time-to-time, late hours may be required especially during implementation.
  • Expected to maintain utmost professionalism and compliance with relevant policies and legislation. The confidential nature of work must be respected, especially given the work is in the public sector.

    Employment Type: Temporary Full-Time

    Paygrade: Band 3

    Location: Ontario (Fully on-site at 525 University Ave; subject to change)
