    Administrative Network Supervisor - Saskatoon, SK, Canada - University of Saskatchewan

    Primary Purpose: Reporting to the Manager, Administrative Network, the Supervisor is an expert in providing administrative support to a variety of stakeholders with complex and at times competing needs and priorities. The purpose of this position is to supervise and direct a team of staff to deliver exceptional administrative support to leaders and units within the Vice President Administration and the Provost and Vice President Academic's portfolios.

    Nature of Work: The Supervisor is an experienced, partner-focused professional who oversees the day-to-day operations of the administrative professionals who support a variety of senior leaders with differing needs and priorities. This position contributes to the development, streamlining, and continuous improvement of the administrative services and processes within the administrative network. The Supervisor must support their team members in balancing partnership and competing priorities, effectively maintaining a balance of collaboration and expectation throughout their team. The work requires the ability to create new and improve upon existing processes and projects, often requiring the ability to navigate highly interdependent and interrelated groups in the administrative and provost portfolio. The ability to effectively develop credibility and manage relationships with a variety of senior leaders within the university is essential.

    Typical Duties or Accountabilities:

    • Supervises and coordinates day-to-day operations of the administrative assistant team.
    • Works with the Manager, assists with employee life cycle activities such as: recruitment, orientation and onboarding, coaching and performance feedback, supporting professional growth, training and development, managing performance improvement and escalating disciplinary matters as appropriate.
    • Deploys administrative staff efficiently, effectively, and flexibly across the portfolio to ensure consistent administrative support (including covering scheduled and unscheduled absences).
    • Contributes to process improvements, an environment of continuous improvement, and ensures team processes are appropriately documented.
    • Enables the USask shared services model by leading a team of administrative professionals that provide consistent support/services.
    • Ensures the team is providing consistent and effective communication to all stakeholders while following established professional administrative standards.
    • Acts as the first point of contact to support employees and promote growth and mentorship opportunities throughout the team.
    • Acts as a champion for the administrative network and communicates the numerous benefits and advantages of this team environment to all levels of the organization.
    • Works effectively with other offices (Central Offices, Strategic Business Advisors, Colleges/Units).
    • Acts as a floating administrative assistant covering areas in need.
    • Creates and fosters a positive work environment.
    • Promotes and integrates organizational initiatives through collaboration with other departments to solve cross-functional challenges.
    • Fosters a positive and open communication culture.
    • These responsibilities contribute to the effective functioning of administrative processes and support the organization's success. Keep in mind that the specific duties may vary, and the role may be accountable for additional tasks depending on the organization's needs.

    Qualifications:

    • Relevant post-secondary education, along with 1-3 years in administrative team leadership. An equivalent combination of education and related experience will be considered for this position.
    • Experience working within a multi-reporting shared services organizational structure is an asset.
    • Must possess knowledge and understanding of issues, including cultural, socioeconomic and other factors affecting Indigenous Peoples and an awareness that Indigenous engagement is a strategic priority at the university.
    • Experience working with diverse communities and stakeholders in an organizational setting is an asset.
    • Possesses advanced subject matter knowledge of administrative support, strong customer service orientation, innovative problem-solving abilities, excellent communication skills, and effective relationship-building capabilities.
    • Experience in relationship building through team collaboration, client focus, conflict resolution, adaptability, and building trust within a team.
    • Be able to deal positively and effectively with stressful situations and encourage constructive, collaborative relationships.
    • Must be proficient with Microsoft Office software (Word, Excel, PowerPoint, Visio, and Outlook) and be able to learn new computer programs quickly.
    • Be comfortable distributing duties and providing direction.
    • Ability to adapt and thrive in a high paced and constantly changing environment.
