- Collaborate and work closely with the Marketing and Communications team on events-related efforts.
- Coordinate internal meetings and take meeting minutes for event-related discussions.
- Create and maintain digital content for external communications for social media and sites.
- Provide information for event calendar and creation of marketing materials for events.
- Resolve event inquiries and manage communications with stakeholders such as sponsors and speakers.
- Invite members to attend events and webinars via phone calls and emails.
- Collect information from stakeholders/event participants such as logos, bios, and videos for events.
- Assist with event planning, including sourcing vendors, suppliers, venues, etc.
- Coordinate speaker dry runs for webinars.
- Coordinate event logistics, including venue selection, guest lists, vendor contracts, catering, etc.
- Conduct research and collect relevant data to support event planning and execution.
- Manage data on events including updating database, merging records, sponsorship history, etc.
- Execute post-event activities such as collecting feedback, debriefs and analyses, etc.
- Assist with supporting Trade Mission attendees.
- Support the development of the package for annual sponsorship.
- Other duties as assigned.
- Bachelor's degree in a relevant field, such as Event Management, Marketing, Public Relations, Communications, Hospitality Management, etc.
- Event Planning Certificate or Certified Special Events Professional certification would be a strong asset.
- At least 1-2 years of experience in event coordination, ideally in a non-profit environment.
- Solid multi-tasking and organizational abilities.
- High level of accuracy, attention to detail, and problem-solving skills.
- Strong interpersonal, relationship-building, and professional communication skills.
- Adaptability in a fast-paced environment with shifting priorities.
- A team-oriented mindset and a solutions-focused approach.
