- Manage all aspects of quarterly board and committee meetings including:
- Drafting meeting agendas
- Drafting minute templates
- Posting board meeting material (electronic portal)
- Managing board calendar and conflicts, scheduling meetings
- Meeting logistics (travel, accommodations, transportation ser vices, meeting setup/takedown, managing catering, booking meeting rooms/sites) for both local and offsite meetings and events
- Prepare itineraries for events as required
- Prepare and submit invoices and Directors' expenses related to board meetings
- Track meeting attendance
- Provide cost analysis and input for budgets and forcasts
- Provide support to Board members as required
- Provide administrative support to Corporate Secretary, Sr Paralegals and Legal Assistants as required, including conversion of minute books to electronic files
- 2-4 years of experience in a legal department or corporate secretary office Excellent written and oral communication skills with professionalism, tact and diplomacy
- Superior time management and priority-setting skills
- Capability of handling confidential information/situations with appropriate judgement
- Proficiency in Microsoft Office (Word, Excel, PowerPoint)
- Knowledge of Diligent Boardbooks an asset
