- Expert-council: Acts as expert-council to the Director of the school, the program directors, students, faculty and administrative staff on academic, administrative, financial and governance issues. Ensure the application of university and faculty regulations and procedures within the unit, in order to ensure the smooth operations.
- Academic Advising : Advise graduate students on complex issues in the objective of promoting retention and academic success. Responsible for the registration process for the unit's graduate programs. Oversee the submission and evaluation process for master's and doctoral theses.
- Graduate Admissions: Oversee the admissions process for the unit's graduate programs. To this end, develop, evaluate and provide intake and information services to potential applicants. Intervene with students in more complex cases.
- Budget: Plan, manage and revise the operational budget, in collaboration with the Faculty, to maintain financial control, integrity and transparency by ensuring compliance with established policies. Administer funds associated with ad hoc activities such as conferences, meetings or receptions. Advise the Director and ensure that the School's activities are carried out within established budgetary limits. Contribute to the establishment of the School's short-, medium- and long-term budgetary objectives and priorities. Plan academic and administrative needs, including teaching, teaching assistance, supervision and correction, and clinical supervision.
- Course offerings and timetable : Support the director of the school in the preparation of the course offerings. Provide relevant data to support decision-making. Lead the process and schedule courses and exams in collaboration with unit management, the Vice Dean of Undergraduate Studies and unit faculty. Prepare faculty teaching loads in accordance with the collective agreement between APUO and UO and faculty policies and procedures. Coordinate the implementation of new curricula and program modifications.
- Program Accreditation: Responsible for the administrative process related to the professional accreditation of psychology programs and the Centre for Psychological Research and Services (CRSP) required by the Canadian Psychological Association. Analyze various reports of a medium to highly complex nature to provide advice and recommendations to managers and to contribute to long-term resource planning. Responsible for establishing effective and efficient processes and systems for data collection.
- Annual student evaluation : In collaboration with the Graduate Activities Coordinator, responsible for file analysis and annual student evaluation. Ensures the planning and organization of relevant meetings, as well as the preparation of documents required for the evaluation and follow-up of the evaluation file.
- Coordinate recruitment and staffing processes for regular, contract and part-time faculty in accordance with collective agreements, in collaboration with the Faculty Dean's Office. Advise faculty to ensure compliance with University procedures and policies. Act as a resource person for his unit, for all matters relating to the collective agreement between the APTPUO and the University in consultation with faculty stakeholders. Responsible for part-time faculty hiring procedures, including contract approval.
- Management of assistantships and obligations: Oversee the process of recruiting and staffing assistantships, ensuring the allocation of teaching assistantships and correction hours, in accordance with the provisions of the collective agreements in force and the procedures established by the Faculty and the University. Ensures that CUPE and scholarship financial obligations are met.
- Physical and material resources: Oversee activities related to the management of physical and material resources, to ensure optimal use of space and availability of equipment required to facilitate the management of the School's laboratory activities. Manage access to secure areas of the Pavillon Vanier, including the Neuroscience laboratories (wet-lab) and the Unit's other laboratories.
- Staff supervision: Participate in the administrative staffing process under direct supervision. Responsible for training, supervision, goal setting and performance appraisal of employees. Develops, develops and implements work methods and tools to improve team performance and service quality.

Position purpose
Under the supervision of the Director of the School, provide leadership in the management of the academic, administrative, financial and governance activities of the school. Advise and guide graduate students to ensure an outstanding student experience. Responsible for coordinating academic activities as well as administrative activities such as human resources management to ensure effective and efficient operation of the unit.
In this role, you responsibilities will include:
What you will bring:
- University degree in business administration or related field, or equivalent combination of education and experience
- At least five (5) years of demonstrated experience in a similar role
- At least three (3) years' experience supervising employees
- Knowledge of post-secondary academic regulations and procedures
- Knowledge and experience in applying and interpreting regulations, policies and collective agreements
- Client services experience in an academic support relationship to advise and guide students
- Experience in problem analysis and resolution
- Knowledge of budgetary principles
- Knowledge of physical and material resource management principles
- Experience in the use of various software programs such as: word processing, spreadsheets, databases, e-mail, Internet, as well as school and financial systems software
- Experience in administrative writing in both official languages
- Excellent communication, interpersonal and public relations skills
- Organizational skills, ability to work under pressure, as part of a team and to meet strict deadlines
- Initiative, autonomy and judgment
- Bilingualism - French and English (oral and written)
