    Description

    Our exclusive client, an international charitable organization, is looking for an experienced Executive Assistant to support the Chief Executive Officer (CEO).

    The role of the Executive Assistant is to identify, develop and implement processes to increase efficiencies within the CEO's office including supporting and serving as the liaison to the Board of Directors, Executive Committee and Standing Committees of the Board.

    Duties may include, but are not limited to:

    • Plans, manages and directs the business of the office of the President/CEO
    • Organizes and manages an active calendar including scheduling meetings, engagements and appointments
    • Arranges all logistics for meetings/events – travel, accommodation, equipment and catering
    • Records and distributes minutes
    • Manages incoming correspondence by prioritizing and determining appropriate course of action
    • Anticipates problems, critical issues and opportunities as they arise and advises the President/CEO accordingly
    • Responsible for leading the organization of all Board of Directors, Executive Committee and other Senior Volunteer meetings
    • Develops agendas and prepares meeting packages for Board of Directors, Executive and all other Senior Volunteer meetings/retreats and manages distribution to ensure participants receive material in advance of the meeting
    • Responsible for attending all Board of Directors, Executive Committee Meetings, and other Senior Volunteer meetings/retreats, recording and transcribing minutes
    • Manages and fosters relationship with clients, partners and stakeholders
    • Responsible for managing the organizational policy framework and ensuring that departments fulfill their duties in relationship to the policy framework
    • Work closely with Human Resources to plan and execute annual recognition event for staff
    • Other administrative duties as required

    Required skills and qualifications:

    • Minimum 3 years' experience as an Executive Assistant, including meeting coordination, and materials preparation
    • Previous notforprofit experience considered an asset
    • Experience working in a fast paced, high stress environment
    • Experience working with volunteers and supporting senior volunteers
    • Strong and accurate minute taking and transcribing abilities
    • Excellent organizational and prioritization skills
    • Ability to manage multiple ongoing projects concurrently
    • Strong English written and oral communication
    • Technically and technologically competent, especially with electronic and virtual meeting platforms
    • Must have indepth knowledge of various software programs (

    Microsoft Office:
    Word, Excel , PowerPoint and MS Dynamics 365)

    • Autonomous
    • Team player attitude who will support the operations wherever needed
    • Ability to thrive in a fastpaced, confidential, and sensitive environment and work effectively under pressure to meet set deadlines
    Monday to Friday – 8:30am to 4:30pm

    Salary:
    $62,000 - $70,000 per year; commensurate on experience
