    About the Role

    The Administrative Assistant provides support to a team of seven full-time counsellors, part-time counsellors, one full-time administrative assistant (who has an inactive period from June 15 to August 15), and practicum students. This position's responsibilities include providing services and information to MRU students seeking counselling, and staff and faculty seeking information about Student Counselling Services. Additional responsibilities include office management, customer service, design and production of department publications, and maintenance of the Student Counselling Services website. Interactions may occur directly in person, by phone, by email, and via other electronic avenues.

    Student Counselling Services is located within Wellness Services at Mount Royal University. Wellness Services supports both students and employee health and wellness on campus. The Injury and Prevention Clinic situated within Wellness Services additionally serves the public. The health care needs of our community are met through medical, psychological and physical rehabilitation services led by a team of professionals including physicians, psychiatrists, nurses, psychologists, social workers, health educators, and chiropractors, athletic, massage, and physical therapists. A population-health approach to education and prevention is a key component to health and wellness at Mount Royal University. Student Counselling Services exclusively serves Mount Royal University students.

    This is a full-time limited term position ending November 22, 2044 and working 8:30 a.m. to 4:30 p.m.

    Responsibilities

  • Act as the first point of contact for Student Counselling Services by answering questions, directing enquiries, taking messages, and providing information. Liaise with other areas in Wellness Services.
  • Book appointments and input Counsellors' schedules into a computerized scheduling system
  • Engage in clerical responsibilities (e.g., book meeting rooms for the department, create reports, order supplies and equipment, arrange for printing service and maintenance requests as required, and support the accurate maintenance of clients' electronic records.
  • Track statistics and metrics related to Counselling Centre activities
  • Maintain and update Student Counselling Services website
  • Develop marketing materials for Student Counselling Services including posters, flyers, and brochures
  • Qualifications

  • High school diploma or equivalent in combination with 12 – 18 months of relevant experience; Administrative training is an asset.
  • Excellent computer skills with proficiency in Microsoft Office Suite; Computer Management System training (for website maintenance) and familiarity with Banner is an asset.
  • Due to the nature of clients served, there is a need for tact, empathy, and constant consideration of the public relations and confidentiality aspects of this job.
  • This can be a demanding working environment that is well served by the ability to stay calm at times when there are multiple points of contact that can happen simultaneously: telephone calls, managing the scheduling system, responding to counsellors, and interacting with students who are experiencing a crisis and present with emotional distress.
  • Time management and organizational skills are required due to the large number of responsibilities and diverse demands. Ability to prioritize workload and tasks when under pressure is a priority.
