    ACADEMIC PROGRAM ASSISTANT (BAND 4)

    Admissions Office

    Faculty of Medicine

    (Full-Time, Permanent Position)

    DUTIES

    Reporting to the Admissions Officer and working closely with Admissions Staff, the successful applicant will be required to perform moderately difficult and varied clerical work, which may involve independent judgement. Duties include typing letters, memoranda and other documents from rough draft; responding to admission inquiries via phone and email; sorting and distributing mail, preservation of records for the admissions process; maintaining an up-to-date filing system; assisting with the processing of applicant files; providing admin support to Interview and Admission Committee members, as needed; and providing other duties as required.

    In addition to the above, the successful candidate will be the lead coordinator for the interview process of the Admissions Office. They will be responsible for developing a working relationship with external stakeholders; recruiting faculty and members of the university community to participate in interviews; processing and organizing interview data; processing and organizing interview results; training and supervising external staff hired to assist with interviews, as needed; and planning and organizing the interview schedule for all stakeholders.

    QUALIFICATIONS

    Experience (2-3 years) in providing support to academic programs in a university environment in addition to completion of a program in Office or Business Administration; or any equivalent combination of experience and training. Proficiency with Microsoft Office (Excel, Word, Access, PowerPoint) is required; experience with Adobe Pro is an asset. Knowledge of Recruit, Banner, and OnBase software programs are assets. Strong interpersonal, organizational, and time management skills; good verbal and written communication skills; and the ability to multitask effectively, work independently, show initiative, and contribute as a team player are required.

    SALARY $49,308 - $57,841 per annum (CUPE Local 1615)
