    Associate, Corporate Partnerships - Foundation

    Due to COVID-19 Guidelines, this role involves remote / work from home with a requirement for a minimum of two (2) days per week working in the office and may be subject to change as the organization works through its hybrid workforce plan, and/or changing needs of the Foundation.     The Centre for Addiction and Mental Health (CAMH) is Canada's largest mental health teaching hospital and one of the world's leading research centres in its field. With a dedicated staff of more than 3,000 physicians, clinicians, researchers, educators and support staff, CAMH offers outstanding clinical care to more than 34,000 patients each year. The organization conducts ground-breaking research, provides expert training to health care professionals and scientists, develops innovative health promotion and prevention strategies, and advocates on public policy issues at all levels of government.

    CAMH Foundation is charged with raising and stewarding funds in support of CAMH. Its role is to help transform the way we understand and address mental illness by raising awareness and increasing engagement across the country. Generous and dedicated supporters help CAMH advance discovery and innovation, build spaces that promote recovery, and break down the stigma of mental illness.

    The Corporate and Community Partnerships team is responsible for engaging corporate Canada and various community groups in a meaningful way that results in long-term and sustainable partnerships that help the Foundation reach its fundraising, awareness, and impact goals.     THE OPPORTUNITY:

    As part of the Corporate and Community Partnerships team, the Associate provides administrative leadership and manages the team's internal processes and strategic priorities. The role is responsible for providing strategic fundraising support to senior team members, coordinating the team's work with senior volunteers, and representing the team and its interests in Foundation and Hospital initiatives.

    KEY RESPONSIBILITIES:

    Operation Support

    • Update donor information in a centralized database (Raiser's Edge) including donor contact information, call reports, activity and solicitation tracking, and action reminders.
    • Prepare and distribute reports and presentation material using various software tools for word processing spreadsheets, database management including but not exclusive to: Microsoft Word, Excel, PowerPoint, OneNote, SharePoint, Raiser's Edge and RE NXT, Luminate Online and Qlik Sense.
    • Prepare complex written materials that will support donor activity including briefing notes, call reports, gift agreements and pledge forms, and general correspondence.
    • Provide support to donors, staff and volunteers, including preparing basic information requests, prospect profiles, briefing notes, mailings, etc.
    • Complete appropriate gift processing forms, and circulate final gift agreements and pledge forms to appropriate CAMH Foundation colleagues.
    • Produce prospect lists, pipeline reports, gift information and action task lists from the database in a timely and efficient manner.
    • Review prospect lists, make recommendations and perform quality control on lists pertaining to event invitations, recognition, and fundraising products.
    • Ensure proper electronic filing of proposals, donor gift agreements, acknowledgements, stewardship letters and reports and correspondence.
    • Liaise with other Foundation and Hospital teams as required to support the interests of the team (e.g. stewardship actions, tours, events, communications materials, mailings, editorial calendar input).
    • Liaise with external vendors as required to support key operational priorities.
    • Proactively provide strategic fundraising support to senior members of the Corporate and Community Partnerships team, including the Manager, Corporate Partnerships and Senior Manager, Corporate Partnerships, in the management and activation of their portfolios of donors and prospects at all stages of engagement. The Associate will also support the wider Corporate and Community Partnerships team as needed.
    • Develop in-depth knowledge of the team's most significant donors (prospective, current, and past), as well as senior volunteers including Board, Cabinet, and Committee members.
    • Work closely with the team's donor managers and other Foundation team members to ensure that fundraising materials and reports (like proposal outlines and presentations) are produced in a timely manner and used effectively.
    • Manage the team's general inbound inquiries (via phone and email), addressing basic requests directly and directing more advanced inquiries to the appropriate team member.
    • Ensure the timely and accurate publication of all donor-meeting materials (e.g. research, briefs, proposal outlines and presentations, stewardship reports, agendas) and coordinate virtual meetings via Microsoft Teams meeting platform as required by Donor Managers
    • Draft, format and edit a range of donor correspondence including gift acknowledgements, invitations, and other correspondence.
    • Ensure donor/sponsor gifts, pledges/reminders, tax receipts, and thank-you letters are processed and issued in a timely manner.
    • Liaise with the offices of corporate donors, Foundation staff, hospital staff and volunteers to assist in the coordination and execution of personalized tours and meetings (virtual and in person), including room bookings, catering if necessary, agendas, minutes, preparation of presentations, handouts and other materials.
    • Collaborate daily with other team members to ensure a high level of information sharing and coordination of activity to help achieve the Corporate and Community Partnerships team goals and the Foundation's overall fundraising and strategic goals.
    • As required, support CAMH and CAMHF's President's Offices in engaging top donors and prospects.
    • Develop and maintain a strong understanding of CAMH funding priorities and related mental health and addiction issues to inform strategies and experiences with the intent to motivate and excite donors, prospects and volunteers.
    • Manage volunteer prospect coding, production of volunteer reports, production of materials, and identifying names for discussion.
    • Coordinate the team's senior volunteer meetings including the preparation and distribution of meeting materials (e.g. agenda, meeting materials, minutes, action reports).
    • Provide support to senior volunteers and CAMH leadership in engagement of donors and prospective donors.
    • Liaise with offices of volunteers to assist in the coordination and execution of personalized tours and meetings (virtual and in person) with their networks of donors and potential supporters, and senior hospital leaders.
    • Coordinate with Philanthropy and Corporate and Community Partnerships teams to ensure RE and volunteer prospect lists are up to date with current prospect strategies and clear next steps.

    • Work as a team player promoting a positive and professional work environment and conduct role with integrity and respect.
    • Work with all levels of internal and external stakeholders as required, including donors and senior volunteers.
    • Exercise exceptional judgement, attention to detail, and discretion.
    • Act as an ambassador throughout the community, positively representing the Hospital and the Foundation.
    • Be conversant with CAMH Foundation technologies and tools to enable their job.
    • Abide by the policies and procedures of CAMH and CAMH Foundation.
    • Maintain donor and CAMH Foundation confidentiality and privacy at all times.
    • Abide by the Occupational Health and Safety Act, and work in a manner that is safe, reporting incidents immediately to direct supervisor.
    • May be required to work outside regular hours to support special events or activations
    • Perform other duties as assigned in order to meet the overall goals and objectives of the Foundation.
    • Operate within the culture and core values of the organization.

    • Maintain knowledge and expertise in relevant fields.
    • University degree/Post-secondary education or equivalent experience.
    • A minimum of three years experience working with senior professional fundraising staff and volunteers. Corporate development, major gifts, and/or campaign experience in a hospital or university setting would be an asset. A combination of relevant education and experience may be considered.
    • Proficiency in the full suite of Microsoft Office products and internet tools. Familiarity with and aptitude for Raiser's Edge required.
    • Demonstrated exceptional judgement and high levels of initiative.
    • Demonstrated excellence at building mutually beneficial internal and external relationships to achieve results.
    • Exceptional communication skills including strong and persuasive writing skills.
    • Demonstrated superior attention to detail.
    • Experience engaging with senior corporate officers (internally).
    • Excellent organizational and problem-solving skills and demonstrated ability to prioritize multiple and changing demands.
    • Demonstrated ability to be self-motivated in a high pressure and demanding work environment.
    • Proven ability to exercise diplomacy and good judgment.
    • Exemplary attention to detail with excellent planning, organizational and time management skills.
